Jump on the property management software train with Buildium!!

The benefits of utilizing Buildium for home construction companies are too many to list here. From management being able to see the project all at once and not have to look in different sections. Subcontractors being able to log their hours per project tasks for easy invoicing. Owners with the ability to go on and see how the construction is going, choosing selections, and keeping in contact with management. For bookkeepers the easy integration of Xero and Quickbooks online is fantastic. If you haven't tried Buildium and are looking for a superb property management software, sign up for their free trial and take it for a test drive.
Pros
There are several items within Buildium that by far surpassed other property management companies. The ability to upload subcontractor paperwork and have all the information in one place securely online with reminders set up when expirations or missing information is needed. The ability for everyone with accounts set up to communicate, check on tasks, and proposals all in one place for easy referral. One of the easiest implementations and setups for property management software. But the absolute best thing about Buildium for me anyways is that you can list as much information from sales, tasks, proposals, selections, etc. I truly believe that all companies need to keep as much information as possible on file and with Buildium you can put as much information as you need, place tags for easy reporting, and this information is for authorized users to see. To me, you can never have too much information and it makes is so much easier if you have a person leave and the new hire to move it and look at the information to be brought up to date.
Cons
When I first started working with Buildium I wished that there had been a step by step workflow check sheet because at times I had to go and research if I was entering the data correctly. But that was quickly solved while speaking with Buidium's excellent customer support team members.
Finally, I would recommend a Buildium forum where all users can go on and if they have questions can post it to the forum as another user may have had the same problem.

Love the System but It's not Perfect

I've been very happy with Buildium. It's all inclusive and I don't need other software to run the business (other than google drive and email!). I do wish they would do better at supporting financial recording for EFTs. However, they are constantly making upgrades and I feel heard as a customer. I'm confident the software will continue to improve as time goes on.
Pros
I love that it has so many functions and is constantly being improved. The help sections and customer support are the best I've ever encountered. I love the lease renewal work flow which makes my job so much easier. The tenant and owner portals are a wonderful resource that allows clients to help themselves before contacting me.
Cons
This system is really set up to support people who use checks. We do not. We do everything by EFT and because of that we have to do a lot of work arounds to record things in Buildium. It's not ideal and sometimes becomes complicated.

Regarding going from one account to the next, if you're referring to association ownership accounts there are a few ways of going about it. If you've accessed the account through a list on the ownership accounts page, you should see a navigation tool in the top-right with left and right arrows. Clicking the right-pointing arrow will take you to the very next account on the list. If you're not going down a list, you can use the search bar which is situated at the very top of your screen. Enter the name of the owner whose account you're looking for, and one of the options that will appear will allow you to access their ledger.

Organizational Time-Saver

Helps keep track and I can quickly pull up info for a tenant and generate them an invoice, etc.
Pros
I really find the dashboard so helpful and interface is easy to navigate. It has a way to keep all tenants organized every across various properties.
Cons
I am still figuring out all of the features and how it can be used to it’s full capacity.

Pros
I use the ledger daily as well as the autopay feature; I handle the commercial leasing, so i appreciate the ease in creating new leases
Cons
the fact that 1 tenant can only have 1 auto pay set up; it would be helpful to be able to set up 2 diff bank accounts for same tenant

Tenants can set up 2 different payment methods in their resident center—bank account and card. I recommend going to the "Suggest a feature" option in the Help & Support menu in your Buildium account to suggest allowing for more than 1 bank account to be saved.

It's been such a learning experience, but very user friendly.
Pros
How versatile it is. There isn't a feature that we have come up with that we have needed that Buildium doesn't already provide or make available in their marketplace of apps, and most of them are free of any additional charge.
Cons
Some of the flow of the different pages isn't as streamlined as you would think it would be, in comparison to the rest of the system.

Buildium is a game changer

This has been an excellent experience, from set up to daily work. The few times I have gotten stuck and not been able to figure it out on my own, I have always received the BEST Customer Service, every single time. Pleasant, accurate, immediate help and a solution to my problem with one phone call. It is astonishing in this day and age. Thank you!!!
Pros
I have been in the Property Management field for over 30 years and started with a DOS based accounting program for our rentals. When it became too outdated to use anymore, my Broker dragged me, kicking and screaming, into the new age of online property management programs. After trying a few of them and being terribly discouraged and disappointed, I found Buildium and have not looked back since. The accounting features allow me to give my Landlords exact and professional reports and access to their account information through the portal. Nearly ALL of my tenants are paying online now, which is a great time saver and perfect for my small business situation. I am able to track every penny, every vacancy, every lease renewal AND I have it linked to my website so all it takes to put a property on the market is the click of a button. But the very best part about Buildium is their customer service!!! I have tried to figure out problems for HOURS on my own, then given up and called customer service to have an answer within minutes!!! It is amazing how fantastic the staff is. And the program keeps getting new features and fine tuning too. They listen to their customers and their excellent developers respond to our needs quickly. I've never had a better experience with ANY program or company, across the board. Highly recommend them.
Cons
The ONLY complaint I have about Buildium is that my ESCROW account balances, which are the tenant's money being held in trust, only show the Property Owner names on my reports.

A Good program getting better

A much better system than using multiple programs for individual aspects. Very geared toward rental management and Condos or HOAs seem after-thoughts often.
Pros
The ability for Boards to interact with management and for owners to be easily communicated with are some of the best features with this program. It's mostly all integrated!
Cons
Updates are usually bumpy when implemented, causing a slow down in service. Some features, which seem to be common sense are still in development stages. Tracking of tasks in infancy yet.
Can send emails but not receive them through the system, causing us to still have to use another program.

Definitely Worth a Try

Overall, I think Buildium is a good company and I think they are struggling with the fast growth process, as many companies do. The cost of their program is less than Appfolio and the folks that work for them are better at helping out with issues. I found Appfolio's phone support to be mostly snarky know-it-alls and patronizing 20-somethings with an attitude who seemed to be bothered by my questions . Buildium support has never come across that way.
Pros
The set up process and assistance in doing it was quite seamless. The ongoing support is there if you need it and the tutorials, although not great or always up to date, do help you figure things out without having to call in.
Cons
The close-out of a tenant can be awkward and not intuitive. The return of security deposits with interest and charging of fees is clunky. Also, when a lease runs out, the system doesn't roll them over to month-to-month. It simply just closes out the lease on line and makes it look like the tenant doesn't live there anymore or owe any rent. This is both frustrating and stressful because if a tenant owes money and decides not to declare that, they could potentially get away without paying rent. There needs to be a change in the rollover of the leases in the system so we don't miss collecting rent.

Great product for property management

Buildium has been great for property management. Online applications/background checks, epay, and the resident portal have proven to be daily uses in our business. 10 out of 10 would recommend.
Pros
epay. It's worth it for that. To be able to get paid online seemlessly is great. Communication being automated around payment is wonderful, too -- specifically, the lease ledger, automating late fees, and payment reminders.
Cons
We list properties for rent that do not have bed/baths on them - specifically, RV pad sites and commercial lots. Buildium does not allow us to list properties without the bed/bath requirement. This becomes confusing to prospective tenants when these listings are on our website and published elsewhere.

Our biggest challenge was gathering all of our data as it was stored in numerous systems. Buildium's deployment staff was excellent in helping us to get off the ground. We were live within 30 days of starting and have continued to add functionality throughout the year.
Pros
We have been live for just over a year now. We use the applications, electronic rent collection (epay), accounting, Resident Center, and task tracking (maintenance) features of Buildium. Their automation has saved us so much time and money.
Cons
Wishlist rather than cons as the system is very good: 1) multiple applications would be good based on the type of property rather than being limited to just 1 application, 2) the ability to move a tenant out and move a new tenant in on the same day, 3) better tenant communications (emailing and messaging) above and beyond what is built-in, we adopted Follow-up Boss for this, 4) API should be open to Zapier

Opt for Monthly over Yearly at discounted rate

Benefits realized would be never opting to save 10% for a yearly contract when a company fails to stand behind their product. As a property manager my success mainly relies on tenants being happy with their situation I'm always perplexed when I deal with vendors that don't share that same idea.
Pros
The added features and collaborations with other products such as Happy Co. Inspector and other features were a huge selling point.
Cons
On-boarding process was horrible, were given two options but the options we choose meant we never truly implemented the software, constantly we were pushed back month after month without being operational except for two properties. Balance and accounting sheet were never resolved. Repeatedly postponed and after months of not having the software work as suggested it would asked to be reimbursed for remaining months not even for a total refund which was denied under the condition that this is a 'self-service' software. If we had chosen month to month option we would of discontinued use of this product after two months. Unable to find an amicable resolution and thus will continue to use this product for the only two properties that were properly entered until the contract ends and discontinue service. The quality of their employees is very high and were easy to deal with but resolutions never truly came and sadly they didn't stand behind their product enough to understand that the on-boarding was never successful and meet a fair resolution. Was offered two months for free after 6 months of not being fully on-boarded.

Glad we use this system!

Rents are collected faster and easier. Especially now that fuel prices have risen, and we use a Post Office Box for our Business, this eliminates frequent trips to the Post Office to get rents. AND, the software tracks it all! In fact, we charge the residents who opt OUT of our Portal a fee when we have to process their paper payments (trip to the Post Office, bring back to office, trip to the bank).
Pros
Residents can pay their rent and management billed utilities on line. Even those residents who are not computer savy, we can set up their payments for them (with their written permission, of course).
Cons
Sometimes I feel the techs who write the instructions forget that not everyone is computer savy, so it takes time for the average user of the product some time to figure it out.

Professional and Polished

When we were choosing which software to partner with, Buildium quickly rose to the top. Today, four years into business, I don't know what we'd do without it. From an accounting perspective, my accounting team has been pleased with the company reporting capabilities. From a management perspective, it allows our smaller firm to look as polished and professional - if not more so - than our larger competitors. It all comes down to how well users work the system. We feel we've gotten into our groove when it comes to onboarding, marketing, maintenance and more.
The only thing I wish Buildium would consider is greater training options for those new to the software. That said, I managed to get us started (initially) and train the other users. And whenever we have a question, the support team is always a close phone call away. I would absolutely recommend the software to anyone as the best for ease of use, accounting capabilities and managed growth of the business.

High Hopes and Mislead

The customer service was just terrible. They don't tell you that you have to apply for online payments. When we were denied everyone stopped reaching out to us, wouldn't answer our questions about why. We called customer support multiple times, by multiple employees to try and find out what or who the problem was on the application. It was extremely disappointing. Also online payments should be ensured for a property management software. AT THE LEAST they should be very up front about it and have you apply before spending three weeks transferring all your information into the platform, customizing applications, settings, fees, setting up staff logins, etc. Then drop you and not respond or answer any of your questions? horrid service. The whole ePay thing is a mess.
The onboarding process was also 5 times longer than it needed to be. We had all the templates for information transfer done in a matter of days, but had to wait two weeks to have a phone call where we watched our onboarding rep input the templates for 20 minutes...
They just need a lot of help refining their onboarding process, removing redundancies, and expressing the process.
We were so excited for the switch to buildium, but are so disappointed with how things turned out that we will never go back to them.
Pros
Had all the features we wanted in a new property management software and the support software was very easy to use. As I dive in I keep finding more wonderful features that are very useful and simple to understand/navigate.
Cons
The customer service was just terrible, and is ultimately what lost our business. Online tenant payment are run through a third party software that needs to be applied for for each bank account (which they run employees credit check for as well as the business and the business owners credit... who bases a businesses future on an employees credit?).

I switched to Buildium from QuickBooks in July 2011 and will switch off on January 1, 2012. We manage about 100 single family properties that are owned by about 30 investors.
Yes Buildium is easy. Yes it is simple but if you are in the business of managing properties for multiple owners it just doesn't do the job. First, there is no way to invoice an owner for repairs. Buildium says you should have enough in your reserve account to cover the bill. OK, that makes sense, but what if you don't? There is no way within the system to tell an owner about upcoming expenses. You have to use another accounting system (QuickBooks for me) to invoice and track receipts. Then you have to add the invoice and payment to Buildium so the owner's reports on the portal (a nice but rarely used feature) are complete.
The ability to sort reports is nearly non-existent. Buildium says to down load the report to Excel and then sort. Trouble is, the Excel file has so many merged fields that you cannot sort a single column. It is taking me 15 minutes to find and remove all the merged header information before a simple sort can be done. If you select the entire sheet then un-merge the report becomes a mess.
The ability to "find" is absolutely non-existent. If you get a check for $1,453.62 and need to know where to apply it, good luck my friend. You have to call the issuer and get the name of the property and unit.
Receipts, statements and reports, which are generated as pdf, are all formatted differently. This means you have to have 3 different types of window envelopes on hand at all times. Buildium is "joined at the hip" with NELCO printing and I have not been able to find checks other than NELCO's that print correctly. Why is this a big deal? NELCO charges $0.35 a check while Costco charges $0.035 per per check. If Buildium is not getting commissions on the business they send to NELCO, they certainly should.
The online help search feature is worthless. There is no content searching so whatever word you type in the search box shows every page that includes any of the searched words. Skip the search and go directly to their index. With a little effort you can find an answer.
The support team is quite pleasant and responds quickly. They rarely, however, have a direct answer and absolutely refuse to ever confirm a feature, like sending a bill to an owner, is just not there. What they do is endlessly reply, "We don't understand your question, please clarify."
I have no one to blame for selecting Buildium except myself. When I asked to be shown features in the online demo I was told to talk to sales. When I asked sales the same question they said to sign up for a demo.
In summary Buildium is cheap and easy but of little substance.

I have a few minor quibbles with Jim’s review, but he’s mostly right. While you can invoice an owner for repairs, it’s not as easy as it should be. Jim’s also right about our reports; we provide most of the reports people expect, but you can’t customize them and trying to manipulate them in Excel is a pain. That’s something we plan to tackle in a future release.

Buildium features review

Buildium allows our rental department to stay organized and provides easy and efficient access to data information. I could not imagine doing my daily tasks without Buildium.
Pros
The general format of the total program is good and maybe better than other programs used in the past. I really like the latest update of the status button for work orders
Cons
I do not like that Buildium doesn't have a feature where multiple windows with in Buildium can be open at the same time. (if it exists, forgive me for not knowing how to use it)
I do not like that Buildium doesn't have a back button feature, especially in the tasks and work order screens.
I do not like that Buildium will allow a partial online payment to be received. It should not receive a tenant online payment unless the full balance is being paid. This is a problem when tenants owe for late fees or maybe a repair expense.
I would like to have the auto email option to send a work order to a owner even if the vendor has no email. It only gives that choice if the vendor has an email set up in the system. Some of our vendors receive work orders by phone or text or in person but the owner still needs to know what work is being done.
It might be a nice feature for Buildium to store invoices in the system once a work order is completed. Not just the picture attachment spot within tasks and work orders. it it were a data base maybe or at least folders to store scanned copies.
The work orders feature to add in the vendor parts and labors costs and description still seems cumbersome especially when dollar amounts are entered and then the book keep tries to pay bills. It may be we need Builduim training in this area. it should be a really useful feature.
Sometimes Buildium seems to add double charges under tenants ledger info. Every now and then a random double charge pops up.

Best investment of our HOA

Bookkeeping and reports are easy to enter and pull. Reconciliations are flawless. When I figured out that we could save documents/invoices by entering all outgoing payments as bills first, it was GREAT! The approval process is really good for checks and balances in our management of the community. One of the issues that I believe will be solved in the next 10 years is that some of our most elderly residents (usually those in their 80's) don't like portals and believe that their information will not be secure. Younger residents don't seem to have the same issues (by younger I mean anyone under 80). In 2017, when we took over management from a management company, we had a treasurer who wanted to do accounting and tracking with spreadsheets and was literally afraid of online software. He was over 80. Because of the time it takes to manage a community as a volunteer, it is usual to have elder individuals involved in boards and committees. We have it down to a handful of those who refuse to go to their portals. Lastly, my request to have an online process for architectural control does not seem to have gotten to the front of the line. It would be so beneficial for us to have that to be able to streamline another process for self-management.
Pros
Buildium has been great for our resident managed HOA. We did a thorough vetting job in choosing our management software, and it has lived up to what we hoped for. The books are right there, and we can allow anyone to see all that is going on at any time. Board members and volunteers have different levels of access, and that has made it easy for reporting. Resident portals are great, and the communication is easy.
Cons
Size of documents/invoices you can is smaller than needed, so I often have to split documents into parts which is annoying. The email took doesn't allow cut and paste of a pdf into the body of text. I always have to send our newsletter as an attachment. Sometimes q & a does not answer my questions for simple things -- such as, I misspelled the name of a new owner, and it took me 30 minutes to figure out how to correct, because there was no answer provided in q & a. My biggest "complaint" would be that this is rental focused in some regard, and we have no tenants. We only have owners, and residents sometimes tell us they are confused by the things that say "tenants" or refer to rentals.

So far the integration has been great. We have not yet got any product update reports on the above mentioned issues.

Cons
HST Representation on the owner/tenant ledger is incorrect. We needed a work around which is not the most efficient way. The auto calculation of HST on charges is not available. Buildium understands the liability account charges on tenant/owner ledger as the liability to the respective owner/tenant. It could be a liability to government too like in the case of HST.
The rent roll and recurring charges list in tenant lease section should provide per sq ft rates for rental properties.
The automatic bank reconciliation has not worked at all as it was advertised during the sales calls.
