MediaLab - Document Control and Inspection Proof

Pros

Ease of use to manage integration with CAP checklist. Provides Lab Director and staff with reminders to sign-off on new procedures, as well as providing notification to all staff of changes to processes and procedures when they occur.

Cons

The numbers of users jumps fairly high after 25. There should be an option between 25 and 100.

Overall, MediaLab LDC has been GREAT! We went from using an extremely buggy and unreliable SharePoint document control system to one that is seamless to use with excellent tracking capabilities, easy to upload, update and manage laboratory and personnel documents. Would highly recommend MediaLab to any laboratory especially accredited facilities.

Pros

It's easy to use and provides excellent reporting functions. Updating and uploading documents is seamless and tracking functionality is second to none.

Cons

Receive too many emails from database which leads to ignoring of important messages. Some aspects are not as easy to use as others and this is true of the personnel documentation section.

Pros

It's nice to have one place to store all our documents. Other than that, I really can't think of anything.

Cons

It is not terribly user friendly, and non-computer literate people have a hard time navigating it. I am constantly having to talk people through its use

Pros

Tracking of revisions and approvals is simplified by far. You can always look up retired documents for retrospective review, changes are tracked and highlighted for quick review, as are all levels of review and approvals. It's easy to get to one's to do list, and the system can be set up to send emails when there are actions for you to take.

Cons

Can't think of anything that I don't like. The vendor is responsive to requests for changes. When we have asked for changes, they have been implemented in a fairly quick timeline.

Pros

The best thing about this software is having one place for all of your documents, and an easy way to track who has read them. I like that you can restrict printing so there are no unauthorized copies floating around the business.

Cons

I find some of the interface a little challenging to use - like the home page isn't totally intuitive. I end up using the search functions more than I normally would because things aren't laid out in a way that makes them easy to find.

The experience has been great.We use the software on a daily basis. The software helps streamline the workflow of the organization and it keeps our documents in a centralized location. Employees are able to use the current version of each document. Assigning documents by groups and individual employees is also a great benefit of this system. Being able to assign compency test so Scientists and other staff members can stay informed and current is also a great benefit.

Pros

Overall, I like the system. I enjoy assigning users to review important documents. I like the assessment field and continuing education. The system helps our company with retrieving and maintaining documents.

Cons

Too many screens and it is not easy to toggle back and forth. The Help menu is also hard to get the information that you are researching.

For the money, you can't beat MediaLab!

I don't like the limitations with other browsers. You pretty much have to use IE for best results
I don't like the way they handle customer support. I prefer talking with someone on the phone over email.
I don't care for the way you cant just click on a line on a document; It is an image. If you want to click on the actual document, you have to download it for editing.

I am saving a lot of time using document control. By using Medialab document control feature, I know that my employees sign off on all documents as soon as they are approved and I can keep records of their activities.
Also, the fee is comparable to other software out there.

Pros

It is user friendly at most parts. Easy to upload documents and start approval process. Easy for biennial review. Reminders for different due dates helps employees. Helps getting ready for inspection via inspection proof.

Cons

Giving permissions to employees and group of employees have been a challenge for me. Also, I have problem giving permission to the Managers for biennial review of their department procedure manual.

Pros

Really easy to maintain compliance to CAP Document Control standards. Easy to use, track, generate reports, make assignments, etc, and would highly recommend to any laboratory without electronic Document Control!

Cons

The front end uploading of all SOPs took a bit of time, but once the manuals are organized, it makes maintenance and compliance a breeze. They also offer "Inspection Proof" which is a MUST HAVE for any lab inspected by CAP.

For us it solved the day to day grind of so much work on paper. One person was responsible for thousands of documents and the changes, so things would fall behind or get lost. We may still fall behind but it is due to lack of time to properly review a document and wanting to wait until we have enough time and can give it some thought.

Pros

It was easy to upload existing documents and treat them just like a manual on paper.

Cons

It can get complicated making workflows and dealing with Divisions. The sharing of documents can be confusing.

How simple it is to update a policy and get it sign off. Reminders for updates. Minor vs major revision to help speed up the review process. Easy access to documents and manuals. Validation of sign offs by pathologists and reviewers

Cons

Too many Staff notifications for policy review - however part of that is due to staff not reviewing when they should

Pros

Great for inspections and documentation. We allow inspectors to look at the manuals. Inspection proof is also a very good product. It minimizes the time they have to search for documents.

Cons

Not the easiest software to navigate. The learning curve in my case was not to steep! Some changes to the icons might be helpful especially for us old dudes.....

Pros

Allows integration with other application such as Inspection proof. CLIA and CAP compliance. Allows labs with minimal resources to manage with ease.

Cons

Document collaboration process can be improved. It's nice to have track changes during approval to easily see changes from previous version. It then requires a minor revision before document is effective to accept the changes.

We are better standardized across our system and we feel confident that we have a software that fulfills the requirements to maintain document control across our organization.

Pros

It is very easy to use and allows you to set up electronic versions of manuals and sub-manuals to mimic what you previously had in printed versions. The tracking and auditing functions ease the burden of capturing and documenting associate compliance with reading SOPs. Customer Service is responsive and helpful whenever you have a question or realize you may have set permissions or workflows up incorrectly.

Cons

The user training needs beefed up. There are items that are missing or vague in the help center offerings. Specifically, we have managers that oversee multiple divisions, and it was not clear how or if to add them to groups in each division. Instructions for sharing of documents out to divisions was also a bit vague.

Assists with managing polices & procedures. Helps out document control process become more standardized, streamlined, and paperless.

Pros

User-friendly features. The help menu on the side of the screen also helps a great deal. So easy to navigate we did not have to train staff.

Cons

Online text editors are glitchy. Advise using Word documents until text editor issues are resolved.
Wish the CE Administration Module had a backup...Would like to move orientation and training into there but there is no backups performed on it.

Love MediaLab's Document Control!!

Pros

Prior to using MediaLab's Document Control we kept hard copies of procedures. ML's Document Control allowed us to go paperless and be able to access all of our documents online which is very convenient. It keeps track of pervious document versions which is nice too.

Cons

So far, no major issues with the software. There was a delay in hearing back from a representative to have questions answered. Once we did get in contact with someone they were very professional and supportive!

Pros

It houses all of our policies in one convenient online place. We can use the Inspection Proof module to link to our policies easily. We also use the competency (Compass) module for our onboarding and competency assessment requirements. We import CAP checklists to use for our self and on site inspections.

Cons

It is quite robust and takes quite a bit of education to use. Our review process is quite lengthy and the to do section could use some revision.

Pros: We have over 1000+ documents and MediaLab helps us stay in our CAP regulations. So many functions and the staff from MediaLab is always willing to help us out.

Cons

Cons: Sometimes MediaLab can run a little slow, I'm thinking when they have updates? Although, I'm in MediaLab everyday, all day.

Does take a few hours of using MediaLab to get comfortable with the software. The constant barrage of e-mail messages is almost too much. Would prefer a weekly or monthly message, especially with back up reminders.

Tracking potential of documents in the system. The to do list is very helpful and also the automatic annual review setting.

Cons

Would like to be able to " watermark" copies to easily see if it is an original controlled copy. This would administrators find uncontrolled copies.

Pros

Greatly facilitates tracking of document revisions, review signature tracking, annual review requirements, and documentation of employee review.

Cons

It can be extremely cumbersome to upload a new document or document revision into Document Control from a Microsoft Word file; spacing is often incompatible, requiring the same document to be repeatedly uploaded and reviewed for appropriate spacing from page to page.
