Calm in a sea of changing regulations

We had considered hosting our own payroll, however, with the craziness of COVID and regulations we are very happy we chose a partner provided and supported solution. Saves us time chasing new regulations and forms and the dreaded amendments.

Pros

The customer service makes the product easy to use. The support makes the product as with many payroll software products it will do what you want you just have to find the right entry and set up.

Cons

At times its so complete it can be overwhelming to find some less used features you had found before. Again they are all like this but the customer support makes this a breeze as you can actually talk to a human being that listens and helps.

Paychex Flex Review

One thing I would like to say is it's a organized thing to check you pays and much more. I love the direct deposit easy setup on this. I like this so far, good experience on this.

Pros

We just use it for payroll, and because the website and tools are simple to use, I can handle it quickly. It was simple to understand how they operated.

Cons

Although I believe I don't always receive them, I like that they provide us the most recent Federal & State employee law boards for posting. When I receive updates, it would be wonderful to receive a notification in my messages or an email. It's possible that I don't know where they are, but if I could obtain them via Paychex Flex, I could check to see if they have been updated or receive them whenever I need them.

Pros

I like the ease and very user friendly interface of the product. I am an administrator and this product has been very helpful for me.

Great app to track paychecks

This is an easy app to use as an employee. The app makes it easy to keep track of paychecks paperless. I would highly recommend it for businesses looking for an easy way to pay their employees and switch to digital paystubs.

Pros

The app is mostly self explanatory and user friendly due to the simplicity of the app.

Cons

My biggest hiccup has been downloading or saving the paystubs and w2’s on a phone. I often had to screenshot and it wasn’t clear and precise. I would make a download hear or save as image option that makes this easier.

One-stop shop, but not very customizable

Pros

It is very convenient to have access to the phone application, so you can access information and even run payroll from anytime / anywhere.
The add-on Stratustime allows you to track the non-exempt employees' hours and feeds directly into the payroll system.

Cons

Entering one-off payroll data such as expense reimbursement or a medical insurance payback has to be done at the individual level through individual checks.
it is difficult to customize access such as giving access to managers to accrue CTO days only, or giving them access to some HR info (number of vacation days, salary) without giving them access to all of it.
Also, the marketing is a little aggressive, the company offers so many other side services (writing your employee handbook, offering 401k, etc) that they call you too often with too many proposals, often different people for the same products.

Lacking Proper Customer Service

Overall the system is good but their customer service needs to be more organized and at least be able to help you look into something when you need answers.

Pros

We like that employees can log in and update their personal account info. such as new address ect. we also like that they can download their tax forms and so on

Cons

Every time we've had questions it seems as though no one there has the answers we need. This can be very frustrating!

overall experience is pleased. I haven't had any issues with the software, paycheck discrepancies, or PTO accrual issues.

Pros

Easy to use to clock in/out for the day. Helps to keep track of all hours worked daily, and accrual of PTO and vacations.

Pretty bad if I'm being honest. If we were to pick software again, we would pick someone else.

Pros

The customer service is helpful, although I wish I didn't have to call them as much as I do.

Cons

It's surprising to me that this company is a big competitor in this space. I think their software is extremely difficult to learn how to use and graphically looks like it was made in Windows 95. I use the administrative side mostly and have people coming to me all the time with questions because it's not easy or intuitive enough to learn on your own.

Software should be created and designed so that it's easy enough for people to pick up and start using immediately. PayChex Flex is not one of those softwares.

It's a good product for a small to medium size company. Again, my review is from a user standpoint, not an administrator. I really have no negative remarks for Paychex Flex.

Pros

Recording time is relatively easy.
W2s and paysubs are easily obtainable
Easy to navigate

Best decision we every made

They have helped me to ease up my role in the payroll process and they have set us up on five recruitment boards to help us find employees and the whole hiring process is so easy and I don't have to be so hands on through the process.

Pros

The hiring/onboarding piece is amazing.
They set us up in less than 3 days and had us doing our first payroll within a week. They sat with us through the whole payroll process from start to finish to make sure we understood it all.
The Time and attendance piece is awesome and works so well for our staff

Cons

There is nothing we don't like about Paychex. It has met our expectations and continues to do so daily.

Good product, easy to use

Pros

We've used several different payroll processors and this was the easiest one when it came to entering our employees hour each week. I'm surprised how difficult and convulted other companies make it, but Paychecx stood out for the ease. And that matters when you have 20+ employees to enter each week. You want it to go quick, and Paychex did.

Cons

We weren't crazy about getting paper checks. We had been used to Next Day Air delivery from a past company and Paychex paper checks were a courier and came at inconsistent times. May not seem like a big deal, but employees want their checks early to deposit at lunch and if they arrive late employees get antsy. We had people tell us they would stop working until their check was in hand. Luckily it wasn't a huge issue, as most people chose direct deposit.

Not for construction payroll

Good people but the tool is one vertical silo after another, we had multiple 3 way calls to coordinate our onboarding and there were many issues that I had to "hunt" for help.

Pros

The tax compliance is great. In a state where there are local taxes and in the ever-changing world of taxes, Paychex does a great job.

Cons

We are not able to generate our certified payroll reports because no one in Paychex knew how to set it up.

The Biggest Rip Off in the HR Industry

Working with PayChex was absolutely the worst experience we have ever had with a vendor. They are great when trying to sign you up but once you do they are impossible to get any assistance. Even cancelling them was difficult because the Off-Boarding team was supposed to call me to help the process of migrating our payroll back and all the necessary steps. 3 Weeks after cancelling no one called and they had the audacity to not only try and bill us but add charges because they tried to pull from our bank for payroll and we cut them off. They have lots of fees that I don't understand how they can justify. Taxes were calculated differently 3 pay checks in a row, getting someone to return email was impossible and when you call you basically get a rep who happens to be the one to get your call, not your supposed HR Generalist, which was absolutely useless. I never criticize publicly about an organization but this one was so very unprofessional and even made worse by the outrageous fees they charge. I would think twice!

- Have minimum 100 letters and I don't have anything really good to say, which is a first because I believe in positive reviews and have never posted a negative one.

Cons

- Tax documents not where their website tells you they are and when you call for help they direct you to the place where the documents are supposed to be but not?

- HR Generalist does not return calls or emails in a timely manner if at all.
- Absorbent fees to use their platform (3 x payment of $1000) and another $500 per payroll period for 3 employees. This high price is supposed to be for dedicated HR Generalist, which is a joke.
- Very attentive when pitching to you and then the disappear and its a huge organization that has zero communication between each other and departments.

Way better services out there for cheaper prices

Do not rely on them to let you know by hiring an employee in another state, you are subject to any additional state/local taxes outside of income tax and unemployment tax. We didn't know we were required to have disability insurance & paid family leave insurance for hiring an employee in NY. I guess I can't blame Paychex because technically it's not a tax but because we began payroll in NY, it required us to carry it. I'm more mad about the fact that it is optional to withhold a small portion of the employees wages for disability insurance or the employer can cover the whole cost. Paychex just started withholding the max portion from the employee without ever saying a word to us. So 1.) they knew we were subject to it and didn't bother to say anything and 2.) they started an optional withholding from employee checks without ever having us sign off on it. They will be easy to reach when they need something, but very very slow if you need something. They switched our assigned payroll specialist so many times that I don't even know who it is now to let them know we are switching at the end of the quarter.

Pros

The only thing I can say I liked is that they pay the tax and file the required quarterly/annual reports.

Cons

Very confusing just to have a rate for an employee. There's multiple areas in the employee file where you can add "compensation" & "earnings & deductions". Compensation is where you can add their rate (if you don't, it will notify you that you're not paying minimum wage). You figure you need to add at least one category of earnings like hourly or salary in order to pay an employee. So I added their hourly rates to compensation then added Hourly to their Earnings along with their rate again. The Hourly specifically states RATE X HOURS. Yet, by having both of these, you'll end up paying the employees twice. No problem right. Reports take kind of long to download, and not easily customizable.

More benefits of utilizing Paychex Flex include developing quick reports such as payroll statistics. Paychex Flex is a good tool to administer payroll for your company.

Paychex Flex is an online software that human resources personnel can utilize for payroll. Paychex Flex has various subscriptions that company's can select depending on the types of features. Paychex Flex offers an employee dashboard that requires an username, password, and pin number. Paychex Flex allows users to disburse amounts of funds to contractors, employees, vendors, and sponsors. Paychex Flex offers tools, tutorials, and customer support related to the online library and overall application.

Cons

Paychex Flex requires a new verification code upon logging into the dashboard. Users listed in the Paychex Flex may not be deleted depending on administrative rights to complete such an action. Paychex Flex may provide usernames and passwords to administrators and not employees, thus employees may not be able to update time card electronically. Paychex Flex allows time card adjustments to be made by the administrator. Paychex Flex allows payroll adjustments to be made by the administrator.

BIG DECISION

Overall, the experience has been neutral. I do have a good payroll account manager. However, Paychex does promote these positions very rapidly. It seems like any time I am assigned a knowledgeable payroll account manager, they are promoted. This leads me to have concerns regarding the consistency of reliable customer support.

Pros

I like the general ease of use that this software offers. I have had favorable experiences with my current payroll account manager.

Cons

There are often times glitches that can cause issues with payroll deductions. It is crucial to double and triple check your PRINTED COPY prior to submitting each payroll.

Out dated and impersonal

Pros

This product works fine for day-to-day activities but has failed to meet some basic requirements when anything out of the ordinary is required.

Cons

Customer service through Paychex has been very challenging for our business, which ultimately led us towards switching payroll service providers. Countless errors were made when switching contractors to employees, when terminating employees, and Paychex failed on many occasions to provide financial information and tax documents to various states we were reporting in. They were also unhelpful in providing documentation to various states and city governments while our company was dealing with past-due notices that Paychex should have been responsible for. Our account manager changed hands a number of times with no notice, often no notification, and without a clear line of communication. Overall, their lines of communication seem outdated for companies operating online and whatever 'personal touches' they may have been known for have been lost to the wayside of a digital communication age where information has the capability to be freely transmitted from one employee to another. I found myself frequently re-sending the same required documentation to multiple parties and asking the same questions time and time again which were either ignored or partially answered. Overall an incredibly disappointing experience for the years we were with them.

We were better off using Excel Spreadsheets

Our team wastes so much time documenting every detail of payroll in Excel still. We shouldn't have to do this, but there are so many errors, we are constantly correcting PTO time, or notifying them that other errors occurred. Employees not being paid and us not getting notified for 2 weeks, until employee told us.
Basically just a huge effort to do anything. The worst part though is the customer service we received from the team. They would pawn us off on others, tell us to do everything ourselves. We were asking them for help most times because we didn't know how to fix. Jeez. Wish we could change, but after months of research it seems like all systems offer pitfalls that are equally bad. So, we'll fight the good fight. i'm hoping that our new rep will really make things better.

We do our 401k Admin through Paychex, and our rep has been great. No complaints on 401k side.
We were able to get 1 customer service rep that was helpful.

Staff members at Paychex switch all the time, and you never know who you will get on the 1-800 number. My advice is when you find someone good, ask for their direct email or phone so you can have a back door to get problems resolved.

Pros

time tracking is seamless for payroll purposes
strong control over IP addresses for mobile app is awesome
remote offices link and easy to control the whole team
zero % errors with timesheets since we switched from a manual system

Cons

can't get good reports that are standardly used in business apps- like Paid Time Off balances based on anniversary
PTO balances are not live, they only update after a payroll run, so its confusing for staff
notes section in the People tab for Time Off adjustments; no way to get a report on those changes, even though there is a huge Notes: section to use.
401K portal for enrolees is fine, for admin it is lame, no automated notices go to eligible staff.

We enjoy using Paychex Flex. Though we feel it can be improved with more robust reporting features in the area of job costing, the time keeping system does work very well for our organization.

Pros

Our employees are able to clock in from their job sites, no matter where those job sites are, and all supervisors are able to review time cards easily. If there are any punch in or punch out issues, we are able to correct those from HQ in real time.

Cons

There are some days that the software glitches which is inconvenient, but our HR department is able to correct those issues as long as they are communicated. Also, we wish their reporting was a bit more robust. In order to get around that, we export the data needed and manually create reports each week.
