My experience with Instagantt has mostly been good. There was an initial learning curve, but improvements to the user experience and interface have been made through the years.

Pros

It’s wonderful how Instagantt syncs with Asana to visualize our projects and allows us to share with clients.

Cons

The resource view doesn’t give us exactly what we need and want to see. We built and manage what we need in a separate spreadsheet and use Instagantt for some of the data that goes into it. Also building out dependencies correctly to where big shifts don’t mess anything up can be a bit tedious.

Alternatives Considered

Asana

Smartsheet

Reasons for Switching to Instagantt

Instagantt’s tool does the Gantt visualizations clearer and more user friendly than Asana - at least Asana’s first few iterations of Gantt charts. When I tested Asana’s Gantt capability, I essentially just wanted it to be more like Instagantt.

(see bits in my previous entry) - Overall good.
Where I regularly become a bit stuck was when generating a snapshop view and link appeared in my browser, I couldn't instantly know the difference and had to be careful when copying and pasting the snapshot link into my reports, that I was not copying across the working file. The ONLY visible difference is the little cog icon next to the project name. This I only clicked to look for later. I would want to suggest perhaps a subtle background color change at the very top panel when seeing a snapshot.

Pros

Enjoyed the snapshot tool.
The information displayed across the date line, week number, the punchy current day in red and the fact that it instantly highlights the duration of a task or group on roll-over ...all very good. Especially when working on multiple stacked workstreams in a waterfall approach.

Cons

UI - sorry, but I am a fan of Teamgantt with it's more open UI. I feel more confident sharing timing plans with design team using teamgantt than Instagantt. That said, you have hit that middle between IMO Smartsheet being pretty horrible and Teamgantt being my 1st choice tool.
Can't show more than one phase for a workstream on the same line, forcing you to stack creating deep charts. This I know is an almost impossible thing to solve in a gantt chart but when wanting to show a client a compressed quick view of a program, Program Managers often rebuild the plan in a sheet.

I need to have a critical path on manufacturing machinery. Most tasks are less than 2 hours and some are 5-15 minutes.

Pros

Resource management Making sure we are not overloading people.

Cons

I need to track tasks down to the minute with the bar charts reflecting the relative scale. It would only allow bars for one full day. This simply will not work for manufacturing. I need to be able to zoom the bar chart in to have a full day on the screen with at least 15 minute or smaller time increments accurately reflected in the lengths of the bars and they need to add up correctly.

Overall, the experience has been great. It's much easier to use for small projects that alternatives like Microsoft Project and P6. It is a good balance between complexity and ease of use and works perfectly for managing internal projects.

Intagantt Scheduling

Reviewed on 2024/01/28

Pros

Really easy to drag and drop our work from one day to another, or even from one operation to another. Easy to visualise and prioritise the jobs.

Cons

It would be nice to be able to allow weekend work; currently I cannot schedule tasks for Saturday, despite us working that day. I'd also like to be able to make some days public holidays where no tasks can be scheduled, in case I forget it's a holiday and have work scheduled that day.

We would have a much larger user base if it wasn't only days and weeks available on the scale, but hours; if you could add the ability to schedule jobs within a workday - and customize the start and end time of a workday - then we would have a much broader user base.

I was strugling with planing different projects at the same time. Having everything under control was difficult and having everything on my mind was impossible. With instagantt I can have all tasks organised by project, date and I can control operator workload and decide which operator can be assigned to a task.

Pros

I like it's simplicity, how easy is to get use to it and how easily you can create projects, tasks, subtasks and manage all kinds of information in one single software.

Cons

I think I have not used all the features of the software so, by now, I have no cons about Instagantt.

A good product, yet some features could be improved

It was easy to launch, overall, the team seems to like it, it has enough features to be useful.
However, I'd like to have more visibility regarding the upcoming features, what you have planned to develop.

Some features are really painful for the tech team (entering a specific amount of hour a day to follow the workload for instance, not being able to archive done section...)

Pros

- The interface is user-friendly, easy to understand the core features of product.

- Collaboration with multiple users is easy to handle.

- There are all the basics someone would like in a Gantt, and the UI is nice.

- The workload view is really nice

Cons

- The workload management is not optimum -> I'd like to handle it with days worked and not hours, it becomes too specific when you work by the hour

- Section should disappear when all their content is done (or at lease archivable) otherwise, they remain visible forever and spoil the clearness of the gantt.

- It's also painful that the tasks can't be linked between workbooks -> let's say I want to have a stakeholder view versus a developer view, I don't want to work on the same workbook, and yet I have to duplicate all my modifications because it's the same tasks overall

- The milestone management is not usable (milestone shouldn't be included in section, and it shouldn't be movable -> if my tasks go beyond my milestone, I'd rather have the tasks turn red than move the milestone away)

- Some features seems to be glitched -> when you filter on a tag but didn't expand all, some features are missing.

Alternatives Considered

airfocus, TeamGantt, Wrike and GanttPRO

Reasons for Switching to Instagantt

It seemed to have the nicest interface, easy to handle (top priority for the team that already has a lot of different tools). It was collaborative, and I liked the different views (workload, project, gantt)

Need Custom Fields to be Impactful

Reviewed on 2023/05/02

Pros

overall easy to use. good timeline view that's compact and easy to see quite a few things all together

Cons

the BIGGEST gap that we need is more custom fields. I want to use the Asana Instagantt integration - however it's not of any use unless we can import the custom fields over from Asana. That's how we can filter the work by important data points we use internally. It looses it's value without that.

Export tool is great for stakeholders and investors whit the ease of sharing a link with the same UX and UI of navigating the gantt in edit view.

Cons

Overall this software has helped to give better clarity and management to projects.

Pros

Instagantt is a powerful but simple tool and is great value for money when you look at similar options available online. You are able to plot your project in great detail and the Kanban view is great for client, while the swim lane view gives you an easy way to see where work is sitting, you can also change this view to suit how you want to view it. The task time tracking is very easy to use and allows a great depth of reporting during and after projects. I would highly recommend this software for people needing to manage a project with multiple team members.

Cons

The only con and this can be said of most software is that is very reliant on user-input and that the project is detailed thoroughly to get the best use out of the software.

Instagantt is easy to learn, has an intuitive UI, and gives my team what we need to communicate project plans effectively.

Pros

Easy and intuitive to plan and share. My team loves it and we use it for Sprint planning.

Cons

Ticky tacky stuff. Dependencies are difficult to delete. I don't really need the time tracking, and that takes up a lot of the UI space, but it's probably very useful for dedicated PM's.
