Worked on another product for a long long time (which is also very good and powerful). Moved over to Apricot recently, and have been very pleased. It's not quite as powerful as the other product, but it's more user-friendly, and also a lot less expensive.

Pros

Simple-to-understand form structure. They use a "Folder" concept to help you understand how the data is organized. Easy to link data from one folder to another. The form builder has a lot of simple but powerful features (like automated "Other" fields). The report engine is simple enough for most modestly tech savvy folk. And probably my favorite is the security controls...you can build security sets that inherit from other security sets. Saves a lot of time.

Cons

There's a lot of whitespace that seems unnecessary. Means you might have to scroll a while. Reporting/exporting data is good, but not quite as powerful as some other products.

Pros

The ability to customize just about any field and report without having to ask or pay Bonterra to do it for me.

Cons

There are a few fields that I am unable to delete and require me to speak with a Bonterra employee if I want to remove them. These are fields in prebuilt forms.

Bonterra Case Management Is the Best!

I am very pleased with this platform. It has benefited my work greatly and the best thing about it has been the open line of communication from user to the development team. This is reassuring and comforting. It allows me to always be thinking about ways that it can be improved upon, and these ideas even come to fruition.

Pros

I love that I can always rely on the right margin for remaining steps needed to complete the task at hand. Additionally, if a red highlighted step has not been completed, I can click on the given step and it will automatically route me to the area of the document that needs my attention. This is especially useful when accessing some of the longer forms.

Cons

I do wish that within the Group Meetings tab of the documents folder, there was a way to either notate the details of the occassion, or that there were more options. Currently, only "attended" "absent" and "excused" exist. It would be better if "rescheduled" were an option and also having the opportunity to use this function to document appointments made in advance of the actual appointment.

Lastly, I think users would benefit greatly if there were either a calendar function that keeps such appointments in one easy to access place, or in my case, if there were a link to the outlook calendar currently used by the over 3000 employees that I work with.

Either way, having more flexibility to communicate the specifics of the client care in reference, would better serve everyone involved.

Internal Referrals

It would be amazing to be able to pull up and view/access all pending or opened, or even issued internal referrals in one place. I am not sure why, but I have had issues in the past with the departments that I've sent referrals to, not seeing the referral right away. I also just happen to have many cases in different locations, and I work remotely sometimes too so being able to reference the referrals made would prevent duplicate submissions, as well as promote overall workflow.

Overall it has been great. We have been able to cut down our human error from going paper/spreadsheets to this solution with the tracking and reporting. It has also drastically reduced the amount of time to type up reports for our grants. Prior we would be looking at 6-8 hours per report. With Bonterra Case Management, we can now run the reports and have all the information ready in a few minutes and have the entire report done in 1 to 2 hours.

Pros

On the front end, the ability for our team to collaborate with each other regardless of who was the case manager. On the back end, the ability to create what we needed how we need it. Building our own forms and workflows that work for us rather than a cookie cutter solution that we would have to work around and change our process to fit the product.

Cons

The inability for the calendar within Bonterra Case Management to sync with our calendars. We are a GSuite organization and would love that when we put a next appointment for a client within Bonterra Case Management, the ability for that to automatically be put on our calendars as well.

The ease of use, robust system, that what out of the box looked daunting, has the support implementation team and customer care team to make it successful for each organization. We were able to take best practices with our own spin to make sure it worked for us rather than the wild west and not sure where or how to make the other options our own.

Pros

I can customize it on the fly as our procedures change. I was able to build it out using terminology, field names and functions specific to our case management needs. All of the other systems we looked at were missing one or more functions that we needed.

Cons

Just small things. We have often wished that there was an age calculation field that could be added to the Household screen along with the DOB. Right now, we have to run a report to see ages.

The Bonterra system is easy and fast to use. In addition if you experience difficulties with the program. The customer service team are easily accessible and helpful.

Cons

The added cost in order to make product enhancements. For example if a program needs more data entries in order to be more efficient. The cost of adding the enhancement outweighs the benefit.

When I did use it, I thought it was very user-friendly. I only wish it had the ability to open multiple client profiles at once so you could work simultaneously between clients.

Pros

The platform was developed based on the need of information captured specifically for each program. It was mainly used for case noting but certain criteria needed to be displayed for monitoring and reporting purposes, and it was easily developed to show/display those items. I also liked the format in which case notes were printed.

Cons

I wish the navigation from screen to screen was at a much faster pace.

My experience with Bonterra has been great overall. I have used it as a case management application in two different organizations for the last five years and seeing the improvements being made is encouraging. Hopefully in the near future we will see some AI integration.

Pros

I like that we can customize forms to fit our needs and there are numerous templates from form designer that can be put to use. There are robust reporting features, security, support for multiple programs and customer support and training programs.

Cons

It takes new users time to familiarize themselves with the application, We often require technical support to make some adjustments.

If you like a challenge are good at planning and can think outside the box then case management can be a very rewarding career move, I would recommend being a case manager.

Cons

The least thing I liked was the freezing at times of the soft ware. Then we would have to wait for IT to fix the technical difficulties. other that that I have nothing bad to say about the software

I enjoy how easy it is to use. I use it daily for my job at a non profit for my case management. I helps me stay organized and on task.

Cons

Sometimes the search criteria's are picky and sometimes it's down often but gets resolved in a timely manor.
