Great OPS System

Reviewed on 2023/11/28

Pros

Outstanding customer service and user-friendly system. The ability to include accounting and operation on the same platform is a plus.

Cons

Service agreements need improvement on tasking and assets.
Project needs improvement on gatt chart
Reporting does not show all the data we expect such as the total cost of the contract.

Changing operating systems is never easy. However, when you pick the right partner, even during some implementation struggles, we worked together as a team and had a great experience. Just solid people to wortk with.

Pros

We were one of the first client to partner with Build Ops. Their employees and support team have become part of our family. We are true partners. Having a very transparent relationship allows us to push each other to become better every day.

Cons

PMA module at the beginning. However, year 2 they made great progress and continue to improve.

A year into the process, it is interesting that we continue to need almost daily support / find items to be addressed.

Pros

Invoicing seems to be faster than prior to using this system.

Cons

I feel that understanding what we do on the end user (accounting / billing )side was not explored fully prior to go live. Also, getting all user groups on board with the flow of information is vital to the success of this system.

Overall, we are happy with this program. This was our third software program we tried.
As with any software system there will be problems and challenges. BuildOps has a great tech support group in place. We can call, email, or text and get a very quick response. We can text a video or screenshot of a problem and get immediate help.

Pros

Makes it easy to follow service calls from dispatch, repairs, and billing.
Creating PO's helps with accounting for parts costs and making sure we are billing for everything purchased.
Technical support is wonderful.

Cons

There are issues with the preventative maintenance side of it. They are constantly making updates.

BuildOps Partnership

My overall experience with the platform and employees at BuildOps has been a game changer for our company. As our volume of work has increased, we have not had to increase manpower. After implementation, we were actually able to decrease the amount of administrative staff on site thanks to the increase in efficiencies and with the work volume increasing, we have been able to maintain the reduced workforce as a cost savings to the bottom line.

Pros

To us, the best part of BuildOps is the fluidity of information across the entire platform. Information can be entered and will update immediately to our field techs who access the platform using iPads. This ensures the information provided is the most up to date and accurate. The Job Reporting feature ensures we are able to accurately bill out jobs within 24 hours of completing the job.

Cons

The enhancement that I am looking forward to most is the Purchase Requisition feature inside the purchasing module. This will help our purchasing department to ensure everything is ordered on a tech's order sheet. The current process we are using is time consuming and leaves the option for errors in data entry. Very much looking forward to this enhancement so our purchasing department can be streamlined the way BuildOps has solved issues throughout other aspects of the company.

Great product that has completely digitized our office and streamlined our business

Very positive. Especially the customer service! Any issue I have is responded to immediately and I am communicated too during the entire process so I know the BuildOps team is working diligently to fix it.

Pros

Filters. I love being able to narrow my searches until I am looking at just what I want. For example, My bosses wanted to see if there were any jobs that got approved but where never assigned to a job or otherwise acted on. The idea being maybe a customer said "yes please do this work" and it just fell through the cracks. With 10 different filters I was able to narrow down all the quotes we have in our system to just a handful that met the requirements and from there it was easy to find out the story behind each one and whether it needed to be followed up on or cancelled. Big time saver and made me look like a genius.

Cons

As a dispatcher, from the dispatch board I should be able to manually manipulate the job boxes even after the tech starts the job. The way I think the logic should work is this: Tech has their day populated by the dispatcher with 3 jobs A B C. Maybe he gets to all three or maybe he only gets to the first two or maybe job D comes in as an emergency and takes priority over jobs B and C. If I initially booked job A as a four hour job but he did it in three hours I want to be able to make that jobs box three hours on my dispatch board. It looks clunky and doesn't tell you good information at a glance if the job box size stays to what you originally dispatched it as. With plumbing 9 out of 10 jobs we have NO idea how long the tech will take. He might have an all day job that he gets dispatched too and it turns out one of the tenants that needs to provide acccess for a leak investigation up and forgot we were coming and went to work. So now this job is cancelled and needs to be rescheduled and instead of being an all day job the tech was only traveling/working form like 8-9:45am... I should be able to snap the job box back to 9:45am when right now it stays stuck at 4pm. When I used to dispatch, there was the time the technician recorded, the time I as the dispatcher recorded, and upon reviewing those two times the boss then bills the customer. Usually they are in sync but every so often there could be a disparity in which case maybe the boss needs to ask why the tech put 2 hours and the dispatcher says its an hour and a half. I have strong feelings as a dispatcher that at the end of the day I want my board to look exactly like how I think it should be with each job box fit into the time that I think it should be. 90% of the time it will match closely with what my tech put as well. And that other 10% well then we can see, maybe they forgot to start working at the right time or maybe they misread the clock ect...

Pros

The support that BuildOps provides is best in class. I cannot say that about any other company that we have partnered with. Someone is always there in a very timely manner.

Cons

We run into glitches quite often, which are typically fixed quickly with follow up on progress along the way. There are quite a few features we are still hoping will be added through collaboration with multiple teams throughout BuildOps. Since starting with BuildOps, many useful features have been added. I'm always excited to see what is next!

Transitioning to BuildOps was the best decision for our company. They take the time to get to know their customers. We are paying for a product but it is more than that. They have built relationships with our staff and continue to improve the functionality.

Pros

Hands down, the BuildOps support team; from our account manager to the IT support team. They are always quick to respond and we are always made to feel we are the most important person. Our previous software company took days to respond if at all, and when suggestions were made, we were simply told no. BuildOps has listened to us and our wants/needs and we have seen those implemented by them.

Cons

I struggle with billable materials/items being connected to an sales/expense account instead of the WO department driving it to the right financial place. It makes things messy for item list set up.

Overall positive - but like any CRM takes some getting used to. As someone new to the construction industry I’d say it’s been a solid system so far.

Pros

Cons

The Narrator to tutorials. I would strongly recommend hiring someone from voice123 or voicebunny to do the voice over work. AI can do a lot but it can’t do narration. The tutorial is for new hires one of the 1st and regular voices they hear. It’d be a win/win

BuildOps allowed and supported us to move from the early 2000s to the current decade. We had a large jump to make - from dirty and data to implementing a new accounting software at the same time - and BuildOps' implementation manager put in long hours to make sure we could hit the ground running at launch. Then, their success manager has continued to make sure we can get up to speed and effectively use the tools BuildOps has to offer, as well as prepare us for new features as they roll out.

Pros

As a service/construction hybrid company, we need software that is both comprehensive and flexible. BuildOps allows us to maintain separate records for customers and associated properties/sites, schedule and manage our workforce, and organize our service and construction accounting. BuildOps can build and generate custom documents, including forms, quotes, invoices, service agreements, and purchase orders with intuitive editing tools. The search bar is "smart" and capable of finding almost every piece of information entered in the system, from partial addresses to phrases mentioned in notes. The dispatch board is intuitive, clear, and easy to update. With the large amount of customization available, my favorite feature is BuildOps' ability (on PC) to filter most information and to save them as views for each user's needs. The filters function similar to those in Excel tables, and are able to compound. This allows us to create wide overviews for a whole section of our business or narrow views to manage specific workflows. As I have only used BuildOps for a few months, I feel that I only have more to look forward to as I continue to explore its capabilities.

Cons

My main gripe with BuildOps is that it is a young software. Despite the fact that BuildOps has most features we need, there are times where I find features that need to be expanded or streamlined. For example, mobile dispatch can not search for customer or job information, site assets are not bulk import-able, and service agreements take a lot of fine tuning. However, BuildOps is growing and improving all aspects rapidly. Within just a few months, BuildOps has implemented multiple improvements and squashed many bugs we presented.

In the almost a year we have been using BuildOps we have seen the time savings continually improve. When we first started using it we were constantly upset with things it didn't do or wishing we went with another software, but we are glad we stuck with it. BuildOps has added so many features and improvements. The customer service and support staff are amazing. When we were getting it implemented we had someone meet with us 2-3 times a week to help get it set up and then moved to once a week. Constantly being in touch with a representative has helped me feel listened to and understood. My concerns we listened to and then more surprisingly they were addressed and fixed. BuildOps has made leaps and Bounds this last year and i am exited to see what lies ahead.

Pros

The time savings are felt daily. From receiving bills to creating invoices BuildOps has been a force multiplier. BP Mechanical was facing explosive growth and BuildOps has helped us to manage the growth masterfully. The more we implement and integrate BuildOps into all of our operations the more time we save. BuildOps is constantly rolling out new features and enhancements to make it even more useful. When we encounter bugs or issues BO Support is quick to respond and resolve the issue.

Cons

Most of the infrastructure is tailored to service and maintnace. As a Primarily Commercial Construction Company some of the features available to the service side are not usable for project management.

Cons

I believe depending on the field of business, BuildOps will always need improvements to accommodate each business needs. All businesses to not operate the same, there will always be request to change or add features. Unfortunately, our type of business is always a request to add. I was hesitant first as BuildOps is a newer software out there, so I tried a different software first, did not work for us. It was residential based and workflows seemed more difficult than current work flows. I revisited BuildOps, made the move, and have never looked back. Customer service/support/continued improvements and features are awesome. They listen and are continuing to prioritize and add features. The project side is a new feature since we started and WIP reporting is made that much easier.

Pros

The most impactful features of BuildOps, ease of use. Workflow works for us. Utilizing different job views based on status. Job costing feature to invoicing a plus. Work order/job report separate from invoice. Ability to toggle on/off what is needed on job report. The WIP reporting for projects, amazing, plus for me! Reporting from customer to location down to asset. Customized reporting.

Cons

There is no perfect software out there, but this software comes close to meeting most of our needs based on the pain points prior to. There will be a glitch from time to time where the Tech needs to make sure they have the newest version of the app or may have to install/reinstall app. Limitations on totally customizing your invoice look. However, with that said, none of these are deal breakers. And with a few limitations here and there, they are continuing to refine and add improvements.
