Automate your campground

Reviewed on 2023/10/09

Pros

I depend daily on the online bookings, the rate management, and photos of each site. I love that customers can automate their billing - I never see their credit card number, which builds trust.I manage 100% of this from remote. My manager has her own account with limited access and she can do much of the work from a tablet at her house. It's a great tool.

Cons

Managing my rates is very complex. If you want different rates per site type, with discounts based on the number of days they stay, then it gets to be a challenge to set up.

Alternatives Considered

Campspot, Cloudbeds, ResNexus and CampLife

Reasons for Choosing Firefly Reservations

Online reservation. Remote management.

Make the switch!

The onboarding and support team have been great to work with. I started testing Firefly 2 years before we actually committed. Not once did they make me feel like they were being pushy. I would've expected a lack of response after it took me so long to move forward but I still got the same support, response time and assistance I did from when I first started inquiring about them.

Pros

Extremely easy to use. We have both short term and seasonal reservations and it works well for both. I had our entire campground (186 units) set up in about 10 minutes. The invoicing is so easy to read, and the guest portal is extremely easy to use.

Cons

I'm not able to right click and open a new tab on any of the links, this has been frustrating specifically for POS items. When adding the POS inventory, even if I changed the sort options, after saving the item, it brings me back to page one, in a different sort order.  If there was an ability to save, and then go to the next item the same way I can make a change to a single unit and then click to the next item, or if I'm on page 10, it would bring me back to page 10 after saving, that would be a huge time saver!

We were forced into Firefly when Astra was bought out. Overall, the reporting as been inadequate, customer support subpar, and the general lack of communication to resolve issues has been terrible. Which is was has finally prompted this review.

Pros

Firefly seems like a decent looking software, with a major lack of functionality. This might be fine for very simple parks with limited offers, rates, etc. We didn't mind the online booking portal.

Cons

There are many. The view of guests and their listed bookings aren't in order (actually, in alphabetical by day of the week, which is incredibly non-functional). Ultimately, I feel that our park of 37 sites transient sites was too much for it to handle. If you don't care about reporting, and have only permanent guests, then they may be for you. However, an excel sheet might cause you and your accountant less issues.

As a manager who has transitioned thru previous versions, it was almost "pain-free" when we upgraded. There were little issues, but they were addressed promptly. It is amazing what can all be done from this program. The knowledge base is easy to access and find answers. Customer Support is prompt and helpful.

Pros

Easy to use. Love the info and notes we can save in a guests file.

Cons

You can't just type in dates and look at the available sites (Like you could in ASTRA or Campground Manager)
When making reservations, it does not pull up the info for a returning guest.

Reasons for Choosing Firefly Reservations

It was an upgrade and we wanted to stay with them.

Excellent, fast and easy to use. MUCH better that Campspot.

Pros

Firefly is fast and responsive. One of the things I love is the option of being able to drag a reservation to a new site from the grid.

Cons

Arrivals that are not checked in/haven't arrived by closing disappear from the arrivals list the next day which makes the next shift need to search for anyone who stills owes money from last night. And the kiosk check in should have an option for guest to pay the balance when checking in.

Reasons for Choosing Firefly Reservations

Poor company, unscrupulous business practices

Reviewed on 2024/05/17

Pros

The software originally was just $49.00 a month. And represented good value. The software it self is just okay. Glitchy at times, not easy to take reservations on the backing as you have to go through same reservation portal as the online bookings do. Limited options for taking payments. Again just so so.. , the best thing about the software was the pricing. But.. that’s all changed.

Cons

Unscrupulous business practices. They changed there subscription pricing from month to month, to month to month plus a 3.50 fee. Without my consent, and right before my season started. So I did not have the time to shop or switch platforms. I will still be doing so, and have started the process of finding new software. For the current pricing I feel there is better options out there.

Next level booking software that has the power but not the hefty price tag.

Pros

We like all of the features so far, but what we enjoy the most is that we have streamlined quite a few things with Firefly. For example, all of our credit card processing can be done within Firefly for reservations and our campground store. Firefly has a very user friendly guest portal and even a kiosk option so we don't always have to be at the office when someone comes to check in.

Cons

Man I love this app so much, it has made running this park so smooth. They use the term 'Put your property on autopilot' and that is basically what they have done. So much just happens automatically now, so that's that much less I have to do manually so I can focus on maintaining and improving the park. Compared to the other systems I considered, they were either very clunky and buggy (I used Resnexus for a while before I got frustrated and found Firefly), or they were just too expensive. So many of them charge huge setup fees which I don't get. So price is also a huge plus with Firefly, much more affordable that most of the other options. I also don't like per reservation fees that can really add up over time, a lot of systems have gone that direction but no fees with firefly which I like.

Pros

I love the reservation grid. When people call checking on availability, I can just pull up the grid on my phone or computer and let them know what the future availability looks like. If they want to book, I just send them to my website and tell them to book there, since all reservations are made online. All the payments are funneled into my bank account after a couple days, it's so easy. We have a lot of long term guests, and we have recurring charges set up with automatic payments so we are always getting paid on time. Monthly guests pay their own electricity, so once a month when we get all the readings, it is so easy to enter all the readings on one page, and set up scheduled payments for them all. This used to take me hours in Resnexus. I had to navigate to the unit, open the utility recording page, save the reading, create an invoice, remove unwanted charges from the invoice, send the invoice with a note saying payments would be processed in 2 days, then remember to come back in 2 days and process the payments. This process had to be repeated for EVERY UNIT! It was so much work. Now I do it all in less than 5 minutes. Also our old system did not automatically process monthly rent payments so I had to remember to do so for each guest when their new month started. Firefly does this automatically, and shows alerts when a guest is behind on payments. It also automatically sends them emails when payment fails so they can fix it in the guest portal.

Cons

I'd like to see more reports, but they are adding new features pretty rapidly so they say new reports are coming soon. I'd like to see a report that shows how many people were unable to reserve a space from the reservation portal because there were no units available. They told me this report is on it's way, so i'm excited for those metrics to help me decide how much to grow my park.

Alternatives Considered

Bonfire, RoverPass, RMS Cloud, ResNexus and CampLife

Reasons for Choosing Firefly Reservations

Resnexus is a pretty old system, and it looks like it. It is just way too clunky. It has a lot of features, but they are not intuitive at all. It didn't automatically process payments for my monthly guests (well they introduced this feature, but it was trying to charge them multiple future months rent at the same time, it was very buggy so I didn't trust it). Recording electricity every month was my biggest problem, I dreaded it so much. It took so many steps just to record the reading, send notifications about the upcoming bill, and process the payment a couple days later. When I saw how easy it was with Firefly, I was sold right then. I do it all on one page now. I used to have a google calendar setup with reminders to come and process payments, send charge emails etc, but now Firefly does most things for me automatically.

Reasons for Switching to Firefly Reservations

Price mostly - the other options have huge setup fees and/or per reservation fee which can add up FAST ($5-7 per reservation, all it takes is 10-15 reservations a month and your already more than the monthly price). Also all features are included with all Firefly plans, like the guest portal, kiosk, and automated emails. Most of those systems start getting into hundreds of dollars per month for those features, so Firefly offered good value. After watching some demo videos of the others, Firefly just seemed way more simple to me as well. I'm not very tech savvy but I have no problems finding my way around Firefly Reservations.

Response from Aspira

Wow, thanks for the kind words Clay, glad we could help you put your campground on autopilot!
