Pros
It's simple and easy to use. We researched a load of other companies and did a few trials with some of them and non of them were as simple and easy to use as Coacha.
Cons
We find the app really unhelpful as you are so limited to what it can do., so we encourage our users not to use the app.

Many thanks for kind words, and we do recognise that our Apps have room for improvement. They were originally intended to have cut back functionality and for use at sessions / events. However, we're nearing the end of a complete ground up rebuild of the apps now, and they will include all of the functionality that is available through the web login. Keep an eye on our broadcasts for more info ;-)

Pros
The Coacha app and web portal has transformed how we operate and organise our Karate club, it also takes our safeguarding to the next level, we still need to add all our kit to the shopping section though.
Cons
There wasn’t really anything we didn’t like, the only thing that would give us better control would be to have same functionality as a admin when we use a phone or ipad, whereas we need to do the admin on the website.

Thanks Paul. Our new Apps (due early 2025) will have much, much more admin functionality added to them. However at present you can login via a web browser on any device and, as Coacha is responsively design, the interface will adapt to fit on your screen. We do however recommend using as large a screen as possible though (eg laptop/PC) as it is easier to see what you're doing and the options available on the page.

The overall experience has been extremely positive. Coacha has helped revolutionise how we run our club. Coacha has been instrumental in taking us from a disparate group of teams operating in silos to 'one-club' where everyone follows the same processes and procedures. This in turn has helped us treat every member equally and built a more sustainable future for the club.
Pros
The seamless integration with payment providers, the sign-up process for new members and the ability to create custom groups for the different teams within our sports club. Customer support is fantastic and always very helpful and responsive.
Cons
The roles could do with expanding. It would be great to have a 'Team Manager' role who could have access to read-only information on their squad (including payments). If they could have access to reports limited to their squads that would also be very useful.

My overall experience with Coacha has been outstanding. The platform has significantly transformed how we manage our cheer programme, simplifying tasks that used to take hours into just a few clicks. It’s not only user-friendly but also incredibly efficient, from registrations to tracking attendance and reporting. Coacha has streamlined communication between coaches and parents, making everyone’s lives easier. The time and cost savings have been invaluable, allowing us to focus more on our athletes’ development rather than getting bogged down in administrative work. It’s truly been an essential tool for our team.

What I loved most about Coacha was how effortless it made managing every aspect of our cheer programme. The registration process was incredibly simple and streamlined, making it easy to bring new athletes on board. I also appreciated the ability to add detailed notes and information, keeping everything organised in one place. The reporting feature is comprehensive, giving us all the insights we need to run smoothly. Plus, the platform is so user-friendly that even parents find it intuitive to navigate and stay informed about their child’s progress.

To be honest, there isn’t much I dislike about Coacha. It has proven to be a real game-changer for us, saving both time and money when it comes to administrative tasks. A Fantastic Membership System for Sports Clubs

I run a basketball club with several hundred active members and numerous teams.
We moved to Coacha from a competing membership system around four years ago following a review of the marketplace. Feedback from our staff found Coacha to be the easiest system to use whilst meeting or exceeding all of our basic functionality requirements.
The basic functionality that clubs need to run efficiently is extremely well catered for by Coacha. It's easy to create member records, sessions, track attendance, collect and manage subscription payments, contact members, and even integrate sessions/events into your website via their public pages.
Coacha has become absolutely essential for our day-to-day operation and growth as a club, and acts as the central system for our members and staff.
Pros
Coacha's support is first-rate, staff are super responsive and helpful, which is crucial given how reliant we are upon our membership system.
The extensive customisation options through 'Coacha Custom' are terrific for our club, being able to brand the entire system in our club colours etc is a nice touch, but the ability to integrate Coacha into our website to advertise trials/sessions is terrific.
Ease of use: Perhaps most importantly, all the key basic functions that enable clubs to run are well-catered for and easy to use. Creating member records, sessions, tracking attendance, taking fees etc is all super easy.
Continual Development: Coacha has worked hard to increase the product functionality, with multiple new features released since we onboarded including, 1-2-1 bookings, invoicing, public pages, club store, broadcast templates, skill tracking, and numerous quality-of-life improvements.
Cons
There's little not to like, but there are some features that whilst useful, provide basic functionality and could be improved further. Taking the Broadcast functionality as a good example, fundamentally it works and you can easily send messages to your members, however, there's no search function so it can take time to find specific previous broadcasts without going through the history one-by-one, and the formatting can be a pain if you're trying to create an eye-catching newsletter (I find it easier to write a broadcast in Word and paste it into the new message window). I'd like the ability to include graphics and/or multiple attachments for example - or to integrate with full-featured mailing solutions like MailChimp to send regular newsletters to club members. These are minor gripes in the scheme of things though.
Probably the biggest omission from a 'club team' perspective is the lack of an integrated communication tool within the mobile app. A team chat function would certainly improve member adoption of the app, and keep all comms within the Coacha system from a GDPR perspective, but it's debatable how necessary this is with solutions like WhatsApp being so pervasive.

Many thanks for such a detailed review James. You touch on some interesting points with broadcasts and communications. Our email feature was intended initially as a channel of comms for urgent and quite specific comms relating to membership management. We recognize that there have been limitations in formatting and design of emails, and we have recently improved this with the addition of ‘email templates’ that you can build yourself. We have near future plans for integration with the likes of MailChimp to afford better email marketing too, so watch this space. Finally, you have hit the nail on the head with regards to in App Chat. With the likes of WhatsApp being free and commonly used, they set the bar high in terms of features and people’s expectations. Whilst technically possible, the product dev and build time required to effectively build our own WhatsApp within Coacha is pretty epic. Doing so would see an increase in our subscription fees to, which we don't want to have to do.

FYI, we are completely rebuilding our free apps as I type which will not only see increased functionality in them, but also much quicker speeds. That said, any app is only as good as it's internet connection so it may be worth checking to see what the wifi / and or reception is like where you are.

We are not fully utilising all its functions but it is still much better than our previous systems that did the same tasks.
Shout out to the support team who are good and have resolved all my queries when I got stuck on something.
Pros
Originally signed up to replace some appointment software used during Covid to book range time so we avoided too many people down the club at the same time. We used the Lite version to start with so we had time to get familiar with it. Then went to the Premium version so we weren't limited on the number of members. As a shooting club we have to comply with some specific legal requirements and Coacha means we can now easily track people through the early process of the Enquirer, Police Approved, Trainee, Applicant stages just by changing the group they belong to. It's also easy to then archive those that decide not to apply for full membership.
Also using it for membership management from induction of new members where they can book the induction course that suits them, through their probationary period, and then to full membership and the different grades of membership.
Love being able to email/text groups without having to manage multiple email lists via yet another bit of software. All the information is in one place which is great for GDPR compliance. Members can download their own data.
Communication through Coacha with juniors is also automatically compliant with NSPCC’s CPSU (child protection in sport unit) guidelines.
If you want, you can set it up to reserve individual firing points ( eg 25yd, FP3, 7-8pm) rather than just time (25yd 7-8pm). The level of detail is down to you.
Cons
It's writtten more for team management so you can organise and track teams. It took a little while to set it up but that would be the same for any of the alternatives. We are a small club and one person runs the whole evening. So we have a generic "Duty Officer" that runs all the sessions so we don't have to spend too much time specifying individuals.

We’ve been using Coach’s for a number of years and rolled out to our clubs within the UK. The ease of administration complying with GDP ensuring all students information is current and up-to-date. Each student has access to their own information which they can update health changes so instructors are aware of any changes. Support help and guidance from culture has been outstanding. They have always been happy to help. Has reduced the administration and the need to have paper files. We have looked at many other platforms however coacha has far exceeded what other platforms can provide.
Pros
The ease of being able to monitor students attendance & progress. The ease of authorised instructors being able to access medical details in the event of an accident regardless of which club they are training at.
Cons
It would be an advantage for the app to have the same functionality as the main site however the app is still good and quick for taking the register.

Easy to implement, Sleek and professional looking. Streamlines our administration and allows multiple user to access information with clear restrictions on data. Parents register for membership and classes, online registers track attendance and reporting function allows us to track. Recently implemented subscriptions payment and it has been easy so far and I am certain it will reduce admin and make payment chasing much easier. A brilliant product with first class support and online help pages and videos to suit any individuals learning style. Since implementing Coacha the system has been continually developed with new functions added and communicated regularly.

Honestly have not found anything yet that I do not like. There is a lot to learn when you first setup as the system has may functions but support is available so easily.

Setting up was fairly easy for us, and whenever I had questions, the team was very supportive and helpful throughout the onboarding process. Overall, the customer service has been excellent, and the platform is working well for our club at the moment. We haven't received any complaints from parents, which is always a good sign! Keep it up, Coacha!
Pros
We are a small dance club called Konverse Dance Crews, currently running four groups. Coacha has been an incredible asset for us, offering features that help our club run smoothly. We can easily send out broadcasts for quick communication, maintain a register for student sign-ins, and track all payment subscriptions from our members. The ability to send invites for trips is especially useful for organising dance competitions or shows and seeing who is available. The safeguarding tab is valuable for reporting any concerns about a student. One of my favourite features is the club store for our merch/ uniform, which adds an extra layer of convenience for our members and staff!
Cons
The platform truly is great, but I think it could excel even further with a few additions. I wish I could sign the kids out on the platform as well as sign them in. From a safeguarding perspective, it's important to know who has left the building. Additionally, it would be fantastic to have a tab on the fixture for who is picking up the child. This feature would be super useful for managing trips or allow us to customise our own tabs.

We have used Coacha for a few years and have just upgraded our membership to the new custom coacha which we are thrilled with so we would definitely recommend this upgrade to anyone considering it. For us we wanted to make use of the athlete skills section and this upgrade allows us to do that.
Pros
Great immediate support from the Coacha team if there are ever any issues.
The system is easy to navigate and works well for our club.
Cons
Not found much as yet. The only thing I would like to see is on the athlete attendance I would like to be able to see dates missed instead of they attended 3/4 sessions.

Very good. Attentive customer service - no matter how "silly" our questions. Ease of use for all our team. Customer friendly app and website. We love that we can have unlimited participants, events etc. We love we can have staff on the database and registers for attendance. Its great to have payments and participant information all in one place. We love the broadcast functionality - this is very useful for both organisation update and marketing and sales emails. We were worried at first about how our participants would react to having to sign up but they have taken it in their stride as and all engaged with the process well. I think this is because its so user friendly.

Ease of use and onus on the parents and carers to sign up and update their details. All information about participants in one place. Easy to update and search for information about our users. Ability to customise the sign up form to our requirements.
Cons
We would love if we could see a sales pipeline in due course. Also events need to be shown in date order. Shop - when exporting the orders you cannot see the detail of the order i.e. what customers ordered so it makes it difficult to use this to help distribution. I have struggled with the code to integrate it with our website. Coacha app doesn't have all the functionality that the website does.

I have only used the system for a month, and was completely new to it, so currentlyg getting use to how it works.
Pros
Navigation around Coacha is easy and intuitive. As a new user coming to the sytem shortly after it's launch at our charity, it has been challenging to get up to speed with how it all works, but the support team have been amazing and the wealth of support documentation including videos and online guides is very impressive.
Cons
Would be nice to download just parts of the members profiles rather than having to export everything. E.g - just download non photo consents.

Pros
Having switched to a MacBook, accessibility was an issue. I raised a support ticket which was quickly and efficiently resolved. The issue wasn't the software but the browser that the MacBook was defaulting to. The support team had the knowledge and expertise outside of the software system. Very impressed!
Cons
Would like the option of waiting lists without having to create an event / session then assigning . Or, leaving the athletes in pending.

Brower versions really can be a frustration for users, but the Coacha dev team have been working their magic on the web for decades now, so glad they were able to resolve your issue. We do have a waitlists feature, but as you point out this is on a class by class basis. However. we do have plans to introduce additional waitlists that will work in the use case you describe as many clubs have requested this - we'll let you know once live.

Overall we have found it is very simple and streamlined our processes so that tasks are much easier to manage and track as a team. Having the functions of tracking all payments coming in is very useful and being able to customise this per athlete in an easier way makes it crucial to us as a team and saves countless hours. Keeping records for our athletes in a GDPR compliant way and allowing renewal of this and user customisation and editing which automatically updates for us is a great feature. Having events and fixtures in the calendar and being able to send updates and newsletters all from the one platform means that we are a more cohesive operation and allows us to do a lot of this without having to spend so much time manually entering details or having to deal with different platforms for everything we need. We would prefer more functionality on the app as this is the primary use for some of our coaches but the benefit of just having everything together is invaluable to us and has saved each of our admins and coaches countless hours already.
Pros
It is very easy to use for even the most "technophobe" members, it is helpful not to have to do user videos to explain functionality as we have had in the past. The ability to keep records of our athletes including medical details and registers in the same place as we can send payment reminders and keep track of all payments due and events upcoming is what we are most pleased by, rather than having a different process and platform for each task we need. This keeps it in one place and makes it very easy to use cohesively as a team.
Cons
The app itself has fairly limited options, particularly when customising events and selecting attendees etc. It would be helpful to be able to send more customised emails regarding events and fixtures through that page as well as having the option for coaches to select attendees which are compulsory- for example for competitions etc where attendance is required, we still found it was asking members to select their availability or allowing them to edit this after the fact.

Thanks for such a detailed review Becca. We are in the process of rebuilding our Apps from the ground up so that we can add to their functionality quickly and easily as we release new feature sets, which as you know we do almost on a weekly basis sometimes. Apps always play catchup to the main web based App unfortunately, as the App stores (both Google and Apple) have very stringent approval processes and take quite a lot of back and forth with their tech teams. Pros
I love that a huge percentage of my admin is taken out of my hands. It is so much easier to keep track of who has/has not paid and allow coacha to send reminder emails which look far more professional than me sending them.
Cons
I like the majority of Coacha. If I had to choose, I would say that it would be easier if I could change payment plans, without deleing the members payment fees and starting again as this relies on having to chase the member to do this again.

Dealing with multiple teams, this takes the headache out of monthly invoicing. This is help me to free up time for other jobs.
