Quite honestly, I think Knowa is exactly what the pensions industry needs - good value, easy / intuitive to use with great support and strong forward-looking development

Pros

Easy and intuitive to use with flexible storage design options and an ability to add many users within the Package. Great bolt-on modules available too along with an AI function and strong search capability

Cons

Not really a dislike but the left-hand bar could perhaps be clearer when one has multiple clients

I find Knowa very helpful and use the system daily but it does appears difficult to engage all our Trustees.

Pros

It's easy to locate files on document storage. The meeting management facility is excellent. The team at Knowa are extremely helpful, friendly and are always striving to make improvements. The Risk Register facility is user friendly and helpful as the Trustee and advisers are able to access. I like the ability to ask other group members to either vote or read a post. I like the collaboration area but it does appear to be difficult to encourage our advisers to respond to this thread. The reason why they prefer to respond via email is that they are unable to keep an audit trail at their end.

Cons

It would be helpful if documents within each of the categories could be added so the last document is automatically shown at the top of the list.It would be helpful if once documents are added to the storage area, there is a facility to rename the file. At the moment, I am altering the title (making it slightly shorter and trying to cover full details of document ie add a date and removing any reference number from an adviser) in Solvay's storage area before moving to Knowa.

the centralised system is a one point for all things I need as a trustee

I've found the experience easy, helpful and productive. The procurement process wasn't overly protracted and there was a great pragmatic approach to getting things up and running. When there are issues I've found the response time short and issues do get resolved. Customer service is clearly highly valued by the Knowa team and in a busy role like mine that's important.

Pros

Because it's so easy to use it really saves me valuable time. The functionality in meeting management is also helpful.

Cons

I don't use all of the functions however, what do use I like very much. Perhaps the only issue for me has been in the appearance of Excel in View mode and the need to convert to PDF format which doesn't always work well.

A focus on the user experience

Pros

We've worked with Knowa to design a tool we can use to help trustee boards assess their effectiveness. The experience has been very positive, with Knowa understanding the requirements and always striving to make the user experience more positive. They have worked closely with us during the set up and testing of the module and been very responsive to our feedback. Feedback from our clients has also been really positive.

Pros

Ease of use, support from the Knowa team and the ability to add new features and develop easily.

It is also helping with succession planning being able to store and develop report.

Cons

None that I can think of and would highly recommend it. The Trustee Board members are also delighted with it.

Pros

Knowa just does the basis so well and is intuitive to use. Not only that, Knowa continually evolves to offer additional functionality that other providers fail to do.

Cons

Very little. Where the team have spotted things they don't like this has been picked up by the developers at Knowa and addressed going forward.

I've been using Knowa daily, and it has truly transformed the way I manage the pension schemes I look after. The platform is incredibly user-friendly, efficient, and reliable, making complex tasks so much easier to handle. The organization and collaboration tools are second to none, allowing me to stay on top of everything with ease. Knowa has become an essential part of my workflow, and I genuinely can’t imagine managing pensions without it. Highly recommend!

Pros

What I liked most about Knowa is its intuitive interface and how it streamlines managing my portfolio of pension schemes. The tools for organising and collaborating are great for staying on top of tasks. It’s a game-changer for simplifying day-to-day tasks! Plus, the support team, especially Antonia, are always readily available and super helpful!

Cons

The only thing I’d say I liked least about Knowa is that it took me a little time to explore all the features and understand how they fit into my workflow. However, with the support team's help and the available training material, I soon got the hang of it, and everything became straightforward after that.

The Trustee Board has reviewed our shared experience and consider the adoption of Knowa a big positive in terms of our pension scheme management. As Chair of Trustees, I have come to see it as invaluable. I would highly recommend.

Pros

1. The functionality for running Trustee board meetings; from publishing the agenda through to approving the Minutes, is exceptional. At a recent meeting, our legal adviser, without being asked or prompted, praised Knowa and declared it the best Board management software they had come across.
2. The secure collaboration between Trustees and advisers and the ability to retain a tracked record of discussions/decisions/approvals.
3. [sensitive content hidden] availability and willingness to engage and assist is off the scale.

Cons

I am still coming to terms with the filing structure on our site. The search facility is very good and effective, but not as effective as knowing where to look/file in the first place.

Overall, Knowa is great. It was one of the first online software's I used when I joined XPS, it was very quick to understand which is good.

Pros

What I like most about Knowa is it's efficiency to create agendas and invite Trustees to view them. It's simple and time effective.

Cons

A couple things I like least are:
-the fact that you have to give access within access to spaces. (although this is very secure!)
-I don't think you should have the 'stay logged in for 2 weeks' function as this isn't very secure.
-folders and documents have no order which is annoying as a couple Trustees have contacted me asking why something from from 2009 for example is above something from 2022. So to implement an order function, where we can number documents so they can go in date order, would be great.

Pros

As a scheme secretary it provides an easy way to create and update Trustee meeting packs. Trustees enjoy the capability to write notes and highlight sections of interest before the meeting.

Cons

Our Trustees note that the risk register module is quite difficult for them to read. It's hard to see all columns on one screen

Knowa - What is good and bad about it

Pros

I like the ease of use and that it is very straightforward to use. Within the first couple of times I used it I knew how to set up meetings and attach documents to the packs.
It is very user friendly and most new joiners who use it for the first time get the hang of it almost straight away. I have had no issues from Trustees with Knowa and all has been positive.

Cons

When adding actions, for example, the latest action is at the top of the list and generally this would have been the last action in the meeting. Only a minor point but when comparing against the minutes it can be a little confusing.
When adding a new member to the collaboration space, it is annoying that you add them and always have to add them to all groups on there as I sometimes forget to do this.

Cons

Can be tricky uploading items as we have to go through your team. Would be good to be able to setup ourselves

Modern software for an aging industry

Pros

Knowa filled a gap in the market that had existed for some time - an easy to use, modern platform to enable Trustees and scheme managers to manage their scheme governance effectively. Having used various other outdated platforms prior to Knowa, Knowa was a breath of fresh air!

Cons

I cannot think of anything negative - whenever I've found something for improvement, the team have taken that and run with it.
