I work on small and large project. When I work helps to project how long man power will be tied up on large project, which helps forecasting, cost of labor, project schedule, when we can schedule the next project. On small projects is makes a clear line of communication between the project manager and the field personal, so that everyone is on the same page when it comes to scheduling.
Pros
Create's a standard line of communication between management and field personnel. Also helps the field personal to be prepared for their next task.
Cons
I work on the road a lot. The program is much easier to schedule personal from the desktop than it is from using the app on a device. Although it does not affect me all the time, it would be nice to see an interface on the device that was more similar to the one on the desk top. At least just for scheduling.

Overall When I Work is a great time tracking solution. It works well, and the report outputs are easy to work with when running payroll. The only thing that could improve is that the sync feature would work with Quickbooks simple start and essentials. Currently the sync function only works with quickbooks plus and above, and not all my clients have a plus level subscription, adding manual entry for payroll.
Pros
The ability for employees to clock in from their smart phone and the system logging their location is very useful. The chat feature also helps employers to communicate the days tasks quickly.l
Cons
The pricing structure seems to always be changing and every time I recommend it to a new or existing client, the current pricing is different than what my other clients are on. I need to be constantly checking the newest pricing before I recommended and begin setup for new accounts.

Deceptive & misleading pricing practices, little integration, but certainly quite slick.

Customer support is very responsive - live chat, email, etc. I may not like their answers (see below) but I can't fault their timely attention, their patience, their attentiveness.
Cons
1. Pricing Practices
The page at wheniwork.com/pricing says nothing, just that schedulling is free for less than 75 employees (and anything over is a "contact us for enterprise" price, which is fine). Great, I think, I'll sign up, start working with it.
Glad I didn't invest much time. I set up a few employees, downloaded the apps, started working out the wrinkles. And after a few hours of looking, and testing, and reading, it looks good, but...
...then I discover that basic features like scheduling more than 10 days ahead (!) are paid-for. So is time tracking. Etc. That's ok to charge, but not ok to deceive - and there's *no* simple way right now to see a comparison of features and costs before getting signed-up.
And this is not a small bump. You can't bolt-on a little extra. To get a proper working app, the minimum number of users they offer 20 minimum and the time attendance module adds something like 50% on top.
But really it is transparency and deceptive practices that have *really* turned me against this product in a *very* short period of time - and that is *very* sad. If they'd allowed me to choose up front to devote my time, great; but they didn't.
I had to ask support what "long-term scheduling" meant (that being something not included in the free plan). That means more than 10 days... No other warning of that, that I could see. I feel deceived.
2. App Reliability
Others have mentioned glitches. I started working with the iPhone app - it stopped working for some tasks. I contacted support who said it was restricted to my account only, and they would get their developers to look at it. So I stopped using the iPhone app. My wife's Android phone wouldn't recognise her (valid) phone number when accepting a request to log in. So 2 strikes there. Your mileage may vary.
3. Limited Integrations
A few years ago, WIW posted on their Facebook page that they used Xero. Some commented then - why no integration? No answer. Years later, still no integration with Xero. No Zapier integration, either.
The cynic might think that WIW gets kick-backs / referral fees / bonusnes from Quick Books, Gusto, etc. which is why they're the (very limited) integration "partners". There's an API of course, if I had time.
Again, I'd forgive that for a free / cheap deal. But it isn't a free / cheap deal *for a working scheduling solution* - a schedule that doesn't reach into next week is *not* a working schedule.
So, yes, I'm annoyed. I feel like I've wasted my time. I feel like I've been deceived. I feel like I signed-up and invested time based upon what is almost a lie. And that sucks - not least because it was so needless. The product isn't awful, the pricing (whilst I may not like it) isn't the worst out there. The limitations are limitations, but every product has some.
And that, really, is sad.
The silver lining is that the free plan only launched yesterday. So perhaps they'll think again about the offering. And my experience is unlikely to be the same as that people had before me. But it is what it is today - so much so that I've signed-up for GetApp just to leave this review.

We hope that many small businesses, including those like you in the apparel and fashion industry, will find value in being able to schedule their employees 10 days in advance and notify them electronically rather than printing out Excel spreadsheets that require their employees to come into a physical location to see their schedule or call a coworker who is currently working to find out when their next shifts will be. As with any new launch, we will continue to try to improve and appreciate your honest and thoughtful feedback about the pricing and how it was displayed to you. Our intention is certainly not to deceive or mislead our customers or potential customers.

When I Work is very easy to navigate and makes scheduling, as well as communication, with employees efficient. There are never any pop ups or app speed issues. The company has though of everything regarding scheduling.
Pros
The feature I like most about When I Work is the ability to view employees hours. Often times, as a manager, we are required to cut shifts or adjust schedules. The forecast tools and the option on scheduler allow us to make fair decisions.
Cons
My only complaint about When I work is the inability to publish schedules on the app version. I often have trouble and even though I click "publish" in the upper right corner - I do not see any notifications sent or publishing done. The website does not look appealing either on mobile safari app.

The simplicity and accuracy are notable. It helps you from scheduling multiple employees on shifts. It allows for employees to swap shifts or release and pick as well. Notifications are immediately sent and acknowledgment of schedule and communications are recorded. Which is absolutely needed to employee accountability.
Cons
There are potential areas where this program could fail at advising the appropriate authority. If a shift was let go and needed to be picked up. Leading to understaffing concerns.

Overall we have loved using When I Work. It makes scheduling seamless and reduces the amount of time we spend on employee schedules. We also really love the reminders and text alerts as it makes it easy to communicate with our team quickly when things change.
Pros
When I Work is so easy to use, it is simple to add employees, great for creating shift templates and the chat features and shift drop applications make changing the schedule simple for employees. As a manager these features are awesome as they reduce the amount of time that I spend re-working the schedule.
Cons
The only challenge we have faced is that we don't have access to the task list as we don't pay for this version of the application. We would love to try it out to see if it is a good value add for us.

When I work is a great app as far as employee scheduling and shift changes. The app has sooo many great features available and it is very affordable.

I would’ve chosen this app over its competition, if the cost was more competitive. It’s easy to use, it’s intuitive, they focus on their core product which is online scheduling.
Pros
This is a very straight forward software that focuses on online scheduling. It’s very easy to use. It’s very responsive, and fast. IM feature is very good. Great for communication between staff.
Cons
The cost is quite expensive, as it’s calculated based on number of active employee per month vs a flat fee, so the bigger the company, the more it costs. We have almost 150 employees in total, so it was not the best option for us to use.

Simple software for employee scheduling

Pros
I like that I am able to see everyone schedule and it will tell me how many hours and how many hours this person has on one specific day and in total. I also like the fact that employees can put in for their days off on the app and then those shifts are available to whoever would like to work them first. I also like the sack that employees can get in contact with all levels of staff and management. It also allows employees to switch shifts, which has been an issue in the past. For one employee will say so and so sad they would take over my shift and this person has no idea what the person is talking about or says no I told him I couldn't do it. When all of it is done on the app you could hold people responsible for training shifts or picking up shifts.
Cons
I think on the scheduling part there could be a little more room. The employee list isn't double spaced and it's a regular size font. I also found creating staff schedules to be a bit of an inconvenience due to the fact that you have to use a cursor to pick a time spot and drag it from one side to another. It can often times be difficult when you're busy.

It has been fine but not great. For an organization trying to implement this software to staff that are used to doing schedules in other ways it has been difficult for people to learn and difficult for people to assimilate into their daily routine because of how complicated it is.
Pros
It allows you to set up a schedule and color code it however you need it to best view it. It has a message feature in the time off request so that there can be a history of a conversation about the request.
Cons
Manager time off requests are automatically approved instead of needing to be approved by another manager or at least approved after created. This means that someone who needs the Manager status to create the schedule but is not the overall supervisor in charge of scheduling can't use the time-off request function. Time off requests can't be changed, only deleted and re-added. Why? Everything is generally more complicated than other similar scheduling software. I cannot copy and paste a range of shifts only individual shifts. Each time there is an update to the schedule made by another person you have to reload the website, which generally loses what you were doing, but this also leads to issues where employees who have the website up and are working on their schedules will not know that there are changes being made to the schedules. So two people could be changing things at the same time.

The company only offers support by Chat or Email - there is no way to get someone on the phone. I did not realize this when signing up, and find it a maddening waste of time when you have a real problem to solve (and you will have problems!)
Pros
The Scheduling module works well for our 25-person veterinary practice where staff work rotating schedules. We can set up templates for each group and quickly deploy and tweak the schedule.
Cons
We tried to integrate with Gusto Payroll to streamline time-sheet reporting. It's a mess, and does not often work. It's really hard to troubleshoot because WhenIWork hides all the integration details. For instance you can not see the mapping of employees and their roles/jobs between the two companies. After a while I realize that it's faster to manually type in all the data since troubleshooting this is so time consuming. Plus you can not get support on the phone!

WIW is extremely helpful to us at our company because we spend the majority of our day scheduling employees for various events that we run every week. Creating a schedule and assigning employees to it is super simple, as well as keeping a database and logging hours for our employees on site. It's all very user friendly and easy to use/look at. Their customer service team is always there to help and are super friendly. We have had many people who have been added to this platform, and have had no problem learning how to use it. It has been really great for us and helps us run smoothly. They have also been actively engaged with us to help us find solutions to the improvements we have requested.
Pros
When I Work is a great product that our company loves to use. We love how easy it is to create a schedule and assign employees, and all of the features are very easy to work with and aesthetically pleasing. We also like the ability to keep a detailed database of employees in the system. Their customer service team has been very friendly and are always there to answer our questions in detail. It is also a great platform for time tracking and exporting time sheets every week to send to payroll. Overall, it's the best platform we could have found to help us do what we need to do every day.
Cons
A couple features we wish they had:
- The option to create a preferred list in our employee database (A-list, B-list, C-List, Do Not Call List, etc)
- The option to be able to look at all events at once on the Time Tracker for the day (right now you can only look at one event at a time, which is hard when we have multiple events and sometimes forget which ones are happening in a day)
- To have a log of attendance (who was late, who called out, who was a no show) that is linked to a person's profile so we know who the problem people are (maybe a color coding that's like "green" if they are good on attendance and then gets closer to "red" if they have had several call outs/tardies)
- A way to add the zip code of an event to a schedule/job site that shows up on timesheet exports
- A way to send a crew memo or mass notification ("this shift has been cancelled" or "this shift has had a time change, please confirm") to all or selected crew members via WIW.

Going down the drain fast

Terrible. When I first started with When I Work it was a blessing and helped our business work well. I don't know if they changed management or what but the customer service has gone down hill in the last year or so. We are a staffing agency. We depend on our scheduling service for our money our very heart of our bisiness. They made some changes that have totally made this service obsolete for our company and now - in the middle of the work week in the middle of the work day when all of a sudden the changes became in effect with no warning- we have to stop what we are doing and find another scheduling service. This is after they had a large glitch that made it very difficult for our business and fixed it after 4 weeks. Can't call anyone - not an option.

I felt it had good features in the beginning
Cons
When there is a glitch they don't fix it for like a month. They change features that are detremental and don't give an option to opt out. You can't speak to a person you have to email them with problems. When you do get a hold of someone they do not help you but just say the same thing over and over like: We are working on this at this time. No solutions.

Pros
I love that employees can indicate when they are available and when they are not available. I love that they can put in requests for time off which helps me not rely on myself for remembering. I love that there are additional features for rate of wage. I like the attendance and I can see if employees are showing up late or getting into overtime. There is a budget feature which I have not used but think would be very helpful in the future.
Cons
I wish that I could have the option of excluding some employees when sending a general email through WIW. I also wish that open shifts were always a different color especially when looking at the schedule by position. This would bring my attention to the open shift and alert me that someone is needed. I wish I could publish an employees schedule out for more than 1 week.

When sending custom email messages to your employee's you can select which employees you would like to send the email messages to, by clicking on the "To" field and selecting their names from the list.
There is not a way to automatically change the colors of the OpenShifts. Instead managers would have to manually edit the OpenShifts and change the colors on the Scheduler page.

over all we are happy and will be staying with the system. we would much rather help them develop there product the switch to another system. while we went there at the very beginning I think it was close an it has been useful and stable all along.
Pros
used on phones. multiple site capability. we started with one location with the knowledge that as we gained locations this system could grow with us with out having to buy into a large expensive system before we were ready.
Cons
the workchat function is still in need of some attention. deleting old chats isn't obvious. Sometimes when writing longer texts the system will stop displaying the text being written after about 200 characters, then the whole text will be displayed when sent. can't edit or delete a posted text. posting pictures can be confusing although they do post. the chat is about 75% there just needs a little buffing up, this is a pretty big part of our administration as to a great degree we manage from offsite.

Pros
DASHBOARD : Upon logging in, the dashboard shows the exact total amount of time and money put it by all employees. That way, I can see if there is something out of the ordinary as long as I know the average expense we put on the payroll.
AS AN ADMIN/PAYROLL/SUPERVISOR: I can customize who can view and edit the time of the members in the team. Typically, I give part of admin rights to the team leaders or supervisors. This way, it saves my time in editing login errors and focus more on the whole organization. If I want to do a roll call, I can do it at my desk in one glance.
It helps me organize the schedule of the whole organization for next week's work operation and post it when it is finalized. No more excuses such as "I didn't know".
At the end of payroll period, reporting is a breeze!
AS A USER WITH LIMITED ACCESS : As a user, I have limited view of the data. I can only view my own hours. Which it is what I'm supposed to only see. I can watch my hours and limit myself to working more than 40 hours per week. I can send my Personal Time off and wait for the admin's approval. As a contractor employed by the organization, I can post my time availability. I don't have to go back and forth talking and negotiating to the supervisor. I can do this remotely with an app.
Cons
So far, I have nothing least to say about this software.

What I liked about When I Work the most is that it is very easy to use. The link to download app feature works great. Its great for scheduling.
Cons
What I liked the least about When I Work is the time tracking feature because it real time updates are not automatically available without refreshing the screen. Also sometimes new shift updates also lag and require refreshing the app as well.

It saves us a lot of time. We have 130 college students that work for us and they are always swapping shifts or need a shift off for an exam or something like that. They can do all of that through When I Work and I don't have to be the middle man in any of that anymore. It also helps hold them accountable. It makes them acknowledge their shifts and tells them that they are still responsible for the shift until someone accepts it (and notifies if/when it is accepted). It is nice that they get that reminder every time they need to drop a shift and I don't have to find them and remind them all of the time.
Pros
We love the fact that our employees can access it on their phones. Our employees are college students, so being able to use it on a mobile device is crucial. Our old program didn't have that functionality. I also like that I can go in and move someone's shift to "open" for any other employee to accept. Since our employees are college students and anything required for a course is excused from work, so it is really nice to be able to go in and move a shift for an employee that has an exam or something like that. I also like that employees have to acknowledge their shifts.
Cons
Two things - I can't go in and schedule just one person. We are on a college campus that operate on quarters. I would like to be able to look at an individual schedule for a certain time period and edit it as necessary, but that functionality doesn't exist. My employees are frustrated with the notifications. It is great that someone can do a "drop shift request" that goes out to all of the other employees, but it is frustrating to get 10 emails about that. We (mainly our hourly employees) wish there was an option to get the notifications in a digest once a day instead an email for every single notification.

Manage staffing, scheduling, and attendance of your team for free

Pros
It’s a great application if you handle a large team and you need to keep track of your employees schedule, time clock , and shift staffing. It can handle up to 75 users. We used this application when i joined a part time job in sales. And it was easy to set up both in desktop and mobile. And when i logged in I can see all members of our department in the Team messaging feature. You can easily read and track all conversation within the team. Choosing your shift or schedule was easy. Just add the shift or schedule you chose for up to 2 weeks and the Manager can view your schedule for the day. Time clocking was easy, just press the IN button and break button if you are on break. Its an awesome application and whats good is that its free to sign up and use these features.
Cons
Well since its free, the features and function are just limited to what the employees clicked on the app but no screenshots of their desktop or other feature that other time applications have that can testify that the logged hours are indeed productive. Unlike Some paid applications that would have integrations to payment system after approval of hours, When I Work does not have other app integrations that would be complete the staffing and accounting system of your business. But so far everything went fine for this application, and moving through features or tabs does not hang and does not have much errors.

Overall, I really like this Software. It is very affordable for my small company! It has some features and functionality that it's competitor's just simply did not offer. So I actually use 2 different Time tracking softwares. But my employees use this one. If I was forced to make a choice on either "When I Work" or one of their competitors, I would probably have to choose "When I Work". They really do include everything my small business needs and more when it comes to scheduling and time tracking needs. The Geo fencing and Chat feature within the Software is just great. It really takes a lot of concern away from me. It allows the employees to be a bit more free and manage themselves and still be held accountable so I do not need to micro manage. It's hard to Explain, but just try the Software out and you won't be disappointed!!

The functionality and features offered are by far the best thing about this Software.
Ease of use, and control of use. Fairly Intuitive, and addresses most all of my needs for my small business!! The Cost! This software is very affordable for a small company.
Cons
I think that the Customer Support is not up to Par. The only way to get support is via Chat or to submit a Ticket. I have been ignored or neglected in the past, and just needed some help and no one was available and Did not respond either. This was when I first started using the Software and so it left a bit of a bad impression with me... I wish the Reports were not just limited to CSV files. I wish the reports were nice and clean and well presented like some of their competitors offer...

Pros
Love the ease of the software, super user-friendly. Also, like that it is easy for all generations to use. Love that all requests can be made online, helping to eliminate paper.
Cons
Would like to see more options for tracking employee hours as far as the reporting goes. Also, other features like tracking employees who work different positions, and being able to report on those hours. Also would like for it to track employee hours who no longer work with us anymore. Don't like that once the employee is removed from When I Work, all of their history is removed as well.

My overall experience with When I Work has been positive! Out of all the scheduling apps or processes I've been a part of, this has definitely been the smoothest. I would recommend this app to any employer looking for good software.
Pros
What I like most about this software is the ability to track my hours in multiple manners. Not only does the app show me how many hours I am scheduled to work a week, it shows me the scheduled hours of everyone on staff in a larger format, and can even show my timesheets, giving me the breakdown of negative or positive hours correlating to clocking in early or clocking out late. This last feature is extremely helpful as it quantifies the fruits (whether ripe or rotten) of your labor, letting you know exactly what you need to keep doing or improve on.
Cons
Yes, when I am accessing availability and have repeating schedule preferences, if there absolutely any overlap, it simply does not allow you to make changes and it is then your job to find the overlaps and shift them to allow for your original change. Often, this process is tedious, but it doesn't come up often as the initial mistake is human error. If there was a way for it to offer options on how you'd like to fix the overlap, that would be perfect.

So much promise, and a very attractive user interface. This might be fine for very small businesses, but has major limitations for tracking actual labour costs vs projected labour costs which is a key aspect of time management. Actual labour costs show up in the dashboard as a pretty line, but if you want to actually know the actual labour cost by day or % for actual sales, forget it. You'll have to export into excel and go back to that old game. If you run a restaurant or bar this feature alone should be a deal killer.
Also if you run a company with multiple departments and want deptartment managers to be responsible for their own labour budgets but not view wages company wide...forget it. Supervisors can view wages for their department but not labour budgets! Managers can view wages and labour budgets, but company wide! So this system can work for a small business where one manager is in charge of all schedules but not for larger companies with department managers that shouldn't have access to company wide info.
When will they come out with these and other features and fixes? Who knows...all they can say is...maybe, perhaps at some point, we're trying. How about a development timeline that customers can see so that they can tell whether a needed feature is going to be 2 weeks or 2 years, or never? How about a response from the development team about when a new feature might come out? No, just keep hoping. Well sorry, companies can ride on hope. Shiftplanning seems to be in the same price point, with larger feature set.

No ability to track actual sales vs budgeted without exporting to a spreadsheet.

we purchased an existing business using this software so we kept it but i would not have chosen this software on my own because you can find better features for the same price with less restrictions.

I was forced to source a competitor due to WhenIwork pricing. I found and switched to Homebase mostly because they offered payroll which wheniwork does not. The main reason i'm dissapointed with the software is that if you pay for the next month on the 3rd of the month and cancel on the 4th, you lose access immediately AND they provide no refunds. I can understand no refunds but if you subscribe to a software and your monthly billing is the 3rd of the month...you maintain that software until the 2nd of the following month. For that reason, i will make sure to take a few minutes of my day and spread the news to others looking for a scheduling app.
