About Klipboard

Klipboard is a field service management software for HVAC, electrical, plumbing, fire protection, and other field service businesses. It enables professionals record customer's information, keep notes and history along with management of all associated documents digitally. It allows users create quotes and convert them to jobs when approved. Invoice upon completion, keep track of payments and sync with Xero Cloud Accounting. Schedule jobs to your team in the field through our intuitive drag and drop calendar. Set up recurring jobs to make sure those repeat jobs are allocated automatically. The Asset Management web and mobile applications allow users to handle asset surveying, asset registering, and maintaining of assets on a pre-planned servicing schedule at multiple customer locations. Automated customer communication ensures servicing schedules are never missed and extensive reports gives visibility for your customers. Digital data collection means no paper forms are needed for your jobs. Quick and easy to use workflow forms can be setup back in the office using the Workflow Form & PDF Designer, then easily deployed with customer jobs to teams in the field for data capture.

Field service executives can use the mobile application to receive jobs in real time. With each synced job, all information needed to complete the job will be there, including client details, location mapping, routing, notes, workflow forms, customer assets, service records, associated PDF documents, and notifications. Teams in the field using the mobile app can perform Asset Surveys and quickly record details of each client asset including any serial numbers, manufacturers, product codes, equipment details as well as a range of other useful details during a survey. They can also complete any Services Records in accordance with an Asset’s Planned Maintenance servicing schedule along with accessing any photos, history, documents, and contacts for the customer’s assets. With Klipboard’s mobile application, field service workers can access their workflow forms for their allocated jobs enabling capturing of any type of data, as well as signatures and images. Employees can clock in on their jobs by starting a timer and when they clock out, Klipboard updates both the job and the team member’s timesheet to reflect the time spent working.

It allows professionals to create and monitor quotes for customers. Add a new quote, apply discount rates or deposits, and select products and services. Email to customers directly from Klipboard or convert a quote straight to a job for the field service team to complete. All quotes have a status ensuring users can see what needs following up to increase job conversion or how many you have won. Managers can easily search using a range of filters giving them complete oversight and customer history. It lets users create new invoices specific to customers and jobs, set any discount rates, set a date and products/services. Associated quotes with completed jobs can be converted into Invoices automatically when a job is completed therefore removing any need for double entry admin. Send quotes to customer instantly and track what has been paid, is overdue or is awaiting payment ensuring you can manage your businesses financials with ease. Integrate the system with Xero account in order to have automatic communication between your accounting and Klipboard's platform and automatically synchronize any changes or updates to your invoices made on Klipboard or Xero will be reflected on both. In settings, users can design, edit, and create templates for quotes and invoices with the company branding and messaging.

Businesses can improve customer service by keeping customers informed through the use of automated email notifications, calendar reminders, and the ability to email reports with customers easily and efficiently. No more frustrated customer phone calls as they will be kept automatically informed through each stage of their job. Pros

Klipboard is perfect for multiple people who are working on projects when out of the office. The interface makes it very easy to use, especially the drag and drop which makes it quick to organize people and tasks. I like the attention to detail such as the use of maps view the location of all tasks.

Altogether a good experience, a few problems but the team are quick to resolve

Pros

Compared to how we use to do business, klipboard has enabled us to vastly improve the quality of service we deliver to our clients while reducing the admin time we used to waste with all the paperwork.

Cons

There are a few teething problems, little things like a specific process to uploading the photos which if we don't follow, can cause the app to crash meaning we lose our work and have to start again.

We believe you use the iPad app in the field and we understand it has crashed a couple of times for you during the image capture process. This can be common in apps however, we work hard to ensure we respond to all requests. Our recently released iPhone and Android app that uses the latest technology for robustness and stability, can be availed of by your team if you wish, however, we are in the midst of testing a new iPad app which we hope to release Feb 2018 which means you will have the same stability as the iPhone and Android users. Pros

Has the ability to develop to our specific needs, working with our facilitator has help in guiding the way the company will use the program going forward.
The app has enabled the team to use the scheduler and reporting documents in the field off line which has taken the need to search for Wifi, this has saved time.

Cons

The administration of the desktop is time consuming and will need more work to help a quicker change in engineer schedules, a better way in updating and adding forms needs to be found to save time. Currently we have to colate any update and then send them to Klipboard for implementation.

With regards to the desktop, we have a drag and drop scheduler functionality which allows for a quick and easy change to engineer schedules within seconds. You are able to create and change forms through our workflow generator yourself through our drag and drop system, however, as an additional service for your business we currently do it for you as it removes admin from your side.

Great Software Every Field Service Business Needs

Pros

Very easy to setup and get going plus their support team have been very helpful on every occasion. The team in the field have been quick to adopt to using Klipboard. On their phones they have the Klipboard app which gives them all the details they need about the job such as notes and any previous job history. The flexibility in having your own customisable forms which also allow you to add photos and signatures ensures we can capture the data on jobs exactly to our business needs. Effectively it means we have left manual paper processes behind.

The office has great insight too as they can easily schedule the jobs and see the progress of jobs in real time making management much more simple for us. It has definitely streamlined our operational processes and will help us deliver our services to our customers much more efficiently. I would highly recommended Klipboard.

Cons

There is nothing to truly dislike about the platform. The setup tool for creating your customisable mobile forms does take a little time to get familiar with using in comparison to the rest of Klipboard.

The Best Customer Service and Great Software

Pros

Klipboard's level of customer service is excellent. Since initial setup they have been very detailed in explaining things and guided us throughout which made us comfortable going with their solution. Our instant chat support requests get an answer within minutes!

Klipboard continually gets better and they are always seeking ways to create more features that are beneficial to their customer's business and adds overall value. It is extremely user friendly and easy to navigate. The quoting, job management, asset management, invoicing and range of customer communications, has streamlined our overall processes. The sync to Xero has eliminated double entry.

Overall a great product for a business needing to manage communications between a field team, the office and the customers you serve.

Cons

Like any new software deployed, it takes a little time to get familiar with the many extensive features . However the Klipboard support team guides us to use the software most efficiently for our business and answer any questions we have.
