There are a lot of software out there to store documents, deal with live text, revisions, and collaboration... but most are just another bucket where information goes to die. XWiki is the programmable information management platform. As a platform, you can expand it with functions that make sense to input, link, display, report, and pretty much everything you need to do with your information to achieve your business outcomes. Plus, you don't need to be a hardcore programmer to get to use it efficiently.
Pros
Sits on top of a top-notch Java stack, ORM, with REST APIs, so you can virtually do anything from using it as a simple Wiki to using it as a back-end to a mobile app. The documentation and the core API is solid.
Cons
Not the Ruby on Rails approach, but why reinventing the wheel every time anyway?

We were delighted to find XWiki several years ago and the hosted solution has provided a flexible, reliable and cost effective solution for our group's knowledge and document management needs for over five years. Key has been the ability to mix unstructured and structured data - and the ability to access the structured data quickly through LIVETABLES - 100s and 1,000s of records can be filtered and sorted with no delays.
The security features mean we've been able to set up wikis for different parts of the group and control access levels properly.
The platform is accessible enough for those with some amateur coding ability - but the XWiki team has always been there to support and refine our attempts in a professional way. More recently we retained XWiki to develop a tailored Document Management system using the Collaboration Suite. We are really pleased with the results - and the fact that the project was delivered on time and on budget. Over the life of our use the cost will be far better than purchasing other document management systems - and we have a system that fits our specific requirements.
All of this is achieved on a variety of browsers without any material internal IS requirements or costs.
We look forward to continuing our collaboration for many years.

XWiki FAQs
Below are some frequently asked questions for XWiki.Q. What type of pricing plans does XWiki offer?
XWiki offers the following pricing plans:
- Starting from: €10.00/month
- Pricing model: Free Version, Subscription
- Free Trial: Available
On-premises (Free) If you already have an employee or team member familiar with using wikis, the open-source model is the most cost-effective option. You download and install the software yourself, giving you complete control over deployment and data management. This model is ideal for both individuals and teams, especially for those comfortable managing their own server infrastructure. You can enhance functionality with community extensions and seek help on the forum, where recommended extensions receive priority support. However, you are responsible for maintenance, updates, and troubleshooting any technical issues. On-premises (Pro) For those looking to supercharge their instance, the on-premises (Pro) option allows you to purchase Pro apps and receive support to ensure they work as intended. XWiki Pro includes all Pro apps and technical support for both apps and the instance, starting from the Silver level. For those that want to migrate from Confluence to XWiki, we have the Confluence Migrator (Pro) and a bundle of Confluence bridge macros included in XWiki Pro, starting with the Gold level. The Platinum level includes a recovery plan and proactive backup strategy support, with installation support for Linux and Windows. On Cloud (Pro) The Cloud model is a subscription-based service offering a hassle-free experience, with XWiki handling server management, backups, and updates, allowing you to focus on using the platform. The Cloud service is available in four tiers: Bronze: Ideal for small teams or personal use, offering default features such as collaborative editing, version control, access controls, an antivirus application, XWiki Procedures flavor, LDAP connectivity, and support for critical issues on the core product. Pricing starts at €10 per month, approximately €1 per user per month. Silver: Suitable for growing teams, adding functionalities like macros, integrations, analytics, custom domain support, and Pro applications support. Custom development hours are available separately. Includes support for the core product and Pro applications. Gold: Designed for larger teams and complex workflows, this tier includes all functionalities from Silver, plus advanced support services such as single-sign-on authentication configuration (OpenID Connect and OAuth), support for custom development solutions, data migration use cases, and instances migrated from Confluence. It also includes support for community-developed extensions. Platinum: Ideal for enterprise-level deployments, offering all features, a dedicated customer success manager, SLAs for uptime guarantees, up to 500 GB of storage for over 100 users, 20 hours of developer support for custom development requests, and all advanced support services from the Gold tier. Additionally, it includes a comprehensive guide for configuring and setting up a recovery plan. Important considerations for prospective buyers Support: While the open-source version is free, paid support contracts are available for those who need help with troubleshooting, fixing issues, instance installation, or customization (depending on the chosen plan). Cloud vs. On-Premise: Consider your technical expertise and resource availability. If you prefer a managed solution, XWiki Cloud is the better choice. If you have an IT team and prefer total control over your deployment and data, the on-premises option is to go for. Plus, we guarantee no vendor lock-in, ensuring you can change your hosting whenever you need. XWiki provides a flexible and scalable solution tailored to the needs of businesses of all sizes, offering efficient knowledge management and enhanced collaboration capabilities.
