About RentWorks

RentWorks is a car rental software that provides essential business tools for car rental companies, service loaner departments and dealerships worldwide, from the front counter to the back office. The solution is PA-DSS certified and can be installed on premises or hosted in the cloud.

RentWorks offers a fully customizable dashboard with four essential sections that enable users to monitor critical business statistics such as the number of reservations due to arrive, vehicles being returned, and fleet utilization. Users can check reservations and availability, as well as create renter and customer files for storing basic information including credit cards, car type, coverages and special charges. Users can also look up transaction histories by phone number, name, corporate affiliation, VIP number or credit card swipe.

RentWorks offers software integrations such as credit card processing, web reservations and claims management. Hardware integrations include signature pads, drivers license cameras, and chip & pin devices. RentWorks also offers various productivity modules including internal e-mail and messaging, time clock, and employee performance/incentive tracking.

Back office modules include accident claim tracking and accounting that can be utilized with several integrations like QuickBooks and Excel. RentWorks also offers a multitude of fleet and management reports as well as various inquiries including cash drawer, contract, credit card, and extensions. RentWorks manages a nightly backup of customer data and with a standard support plan, and users receive free periodic software updates and upgrades.

Key benefits of RentWorks

RentWork’s cash drawer reconciliation module enables users to link cash drawers to a counter agent and setup a starting balance for a drawer, as well as allow for petty cash items and cash balances by shift.

RentWorks supports all types of rates including tiered rates, period rates, and slot rates with special quotes for seasonal rates, special events and corporate customers.

The fleet operations and maintenance module maintains detailed vehicle information, such as status and depreciation enables users enter repair orders, costs and alerts, as well as setup maintenance procedures.

With the parking violation module, users can identify responsible renters based on violation date and time, and generate form letters to notify customers.

The RentWorks software enables users to have multiple programs open at the same time, allowing them to switch between programs quickly by clicking through the various tabs.

My company has been using Rent Works for as long as I can remember. They tried a couple other programs, and kept switching, unsatisfied with them until they found RentWorks.
RentWorks makes things so simple. Booking and scheduling rentals, damages and repairs, billing. It handles everything you need to run a car rental company.
Their support staff are top notch. Put in a support ticket, and someone is usually on the phone with you within 10 minutes taking care of your problem.
There is a bit of a learning curve with RentWorks, which is to be expected from such a powerful program, but the great thing is they offer excellent training, online, and in person.
I doubt you'll ever find a better solution for car rentals.

Pros

It handles everything when it comes to car rentals. You don't need a separate program for tracking damages and claims, or repairs.
There is a report for just about anything you could think of.

Cons

It doesnt maximize the window.

Overall, I have had good experiences with RentWorks compared to other rental software I have used. Their software is very useful and easy to use, other than for Apple products, and it has definitely had a positive influence on the productivity of the company I work for. I also have had very excellent service from their support staff, and for these reasons, I would recommend this product to other companies.

Pros

I really liked that the software had numerous features that made my daily duties easier to perform, and for the most part, it was easy to use. I also have had excellent experiences with their support team whenever I have had any issue or have needed to set up a new machine.

Cons

I do not like that they do not offer easier ways to install their software on Apple computers or mobile devices. They do provide a workaround that is accessible through an internet browser; however, I have found it not to be very user friendly and is honestly kind of clunky compared to merely opening an application. My only other complaint is that the software eventually times out from the server and either has error messages or needs to be restarted. I understand that there is probably no getting around this, but it should take longer to have issues in my opinion.

Good Product, Bad Support

I run a small fleet of rental cars and it's more than enough. However, my personal opinion is that these people don't care about you or your business. The support is really bad. I have been trying to implement chip and pin for a year and they will not return my emails. They just did an upgrade in the middle of the day that crashed the system and cost me several customers. I'd like to know the genius who made that call. You're fired! My franchise will not let me use another software so I am stuck for now. Don't make the same mistake. In four years of paying support to this company (which they increased by 50% last year without any warning) I have never had a phone call from a sales rep. There are some really good coders there, just need to work on people skills.

Pros

Relatively easy to use, lots of features (that we don't use), excellent reporting, solid consistent performance.

Cons

The software is fine. Like any software it has its quarks.

We've been using RentWorks for over a decade and it handles all of our automotive rental contracts, and many aspects of our fleet management and offers great reporting. The interface feels out of date and the workflow is sometimes unintuitive or convoluted, but the customer service reps are good at walking us through how to most effectively work with it when we have questions. Integrated credit card processing is available (through Element/Vantiv), which saves the work of running separate credit card terminals and simplifies PCI compliance and tokenization of cards so that additional charges/credits can be easily processed when vehicles are returned or extended. Updates are released once a year or more, usually with bug fixes and some new features. We evaluate the various software options every couple years and keep finding RentWorks to be the best value and fit for our operations.

Pros

The price is right. The reporting engine is good and the fleet management features work well for our needs across 3 locations. We've been working with their web API for a while and with any luck, we'll have online reservations working through our website soon. (They also have a turn-key web reservation system available if you don't need extensive customization.) As the software is under constant development, there is a chance to have your feedback lead to actual changes in upcoming software releases (to the extent your requests are in line with their development goals).

Cons

User interface design is a frustratingly low priority. If a feature can technically be said to "work," it won't typically merit the additional development time to integrate it cleanly. The whole interface is designed at a fixed 1024x768 resolution (the same resolution supported by my IBM PS/2 back in 1994) which feels pretty inefficient, requiring simple tasks (eg. checking out a car) to be broken into 6 or more screens that need to be tabbed back and forth between. The print engine is ancient and horrible in every way conceivable. There is no simple installer package, so software installs are unnecessarily complicated and error-prone enough that the company suggests having their customer support log in remotely to install the web client on each computer themselves for a cost.

I've stumped them before on troublesome issues and they stuck w/ it until the problem was solved. I would like to give a Big Thank you to the rep in Nashville for always helping me w/ a touch of friendly Southern charm and speaking to me at a level that is easily understood.

Cons

The fact that the Unit # does not show on the payments Screen and that there is no EASY WAY to just go back once you have submitted print.
