Brightwheel is an all-in-one childcare management software solution designed for child care programs such as centers, preschools, daycares, camps, and after-school programs. The platform provides directors, administrators, and staff teachers with the tools for digital child assessments, robust parent communications, online enrollment, automated reporting, online paperless billing, and more. Parents using brightwheel get access to real-time updates on their child’s activities with photos and notes via the real-time newsfeed.

Brightwheel provides centers with secure digital attendance and sign-in for both students and staff. Parents can 'quick scan' to check children in and out, and see real-time updates of their child. Center administrators can review attendance reports for licensing, billing, and management. Users can also manage additional approved individuals for safe student drop off and pick up.

With brightwheel, teachers can snap and share pictures during class, record daily events to share with families (either real-time or log and send at day's end), and use the spot check feature for quick head counts in the classroom. Assessments help teachers record student progress via text or voice, and report on any incidents. Brightwheel’s calendar helps schedule events for the classroom or entire school, including notifications for check-ins, photos and messaging for parents. All-in-all, brightwheel alleviates the pain of manual paperwork and modernizes programs to focus more time on the children.

Administrators can manage classrooms and rosters, as well as securely store family contact details. Detailed reporting provides access to all important information on centers, classrooms, and billing. Users can invoice families, automate bank deposits, and process credit or debit cards. Brightwheel also allows for pre-pay, split payments and email receipts.

    Overall, the app has been a wonderful addition to the way I interact with my child’s daycare provider. Prior to brightwheel, we used two different services. Those did not have as many features as brightwheel and often times were down due to technical issues. Brightwheel is always available is an easy to use application.

    Pros

    Brightwheel is an easy to use app with all the functions necessary. It allows you to see daily updates on your child to include both video and photos. It allows for a secure place to communicate with your child’s providers and keep informed with things outside of the normal daily updates. Being allowed to also send payments through the app is highly beneficial. Having everything in one app makes things so much easier.

    Cons

    There isn’t much to dislike about the app. One slightly frustrating feature is the reminder emails regarding autopay. There was a time where I intentionally did not want to use auto pay. The app then would send DAILY notifications prompting me to sign up for autopay which was slightly frustrating.

    I use brightwheel for billing and receiving payments, sending statements, attendance recording and...

    I use brightwheel for billing and receiving payments, sending statements, attendance recording and tracking, ratio tracking, daily communicating with parents, sending alerts and important notifications and last but not least, check-in and check-out recording. I'm sure there are details I am not thinking of right now. The best I can say is, I use brightwheel for everything!

    Pros

    It's very easy to use, very user friendly and has so many helpful features. It really is a one stop shop because of everything it offers. I don't have to use other programs for various reports or tracking and even billing. It has brought peace to office chaos and helps parents with convenience and peace of mind.

    Cons

    There are always new things that a center looks for to help processes become more efficient or comprehensive. So yes, there are things that can still be integrated in brightwheel, but they are always open to suggestions and feedback. As soon as ideas come up, they put things into play. Keep in mind, all things take time.

    It really is a wonderful tool to have for communication with parents. It makes sending pictures really easy. I love knowing that our parents can easily receive pictures of their child throughout the day. As a parent myself, I love receiving pictures of my son!

    Pros

    I love the ability to post multiple pictures at the same time. All the options are easy to find and labeled really well (ie. nap, food, potty, etc.).

    Cons

    First, I really don't like how difficult it is to edit a note, photo, or custom message if we spot an error after sending it. We have used another platform before that you could easily click on which students had the note that was sent out and you could edit it one time instead of having to go through each child. For example, to edit a "note" that was sent we would have to edit it 19 times to fix it. That's a lot! If you could update this I would really, REALLY love Brightwheel.

    Secondly, can we please have a "Sent" message page separate from just the one page that groups the sent and received all in one. I am missing incoming messages because they're getting lost in a bunch of other messages. And one more thing about messages. This would help out SO much! Can there be an option to mark a message as "Unread"? Sometimes my morning assistant will check a message but forget to tell me and unfortunately I won't see the notification that a message came in. But if it could be known that if anyone reads a message before the lead teacher they can easily indicate it as Unread and then no one will miss it.

    Pros

    Love the ease of use. The communication tool helps bridge the gap between home and school. The billing function takes out any awkwardness of having to address certain fees. The built in Experience curriculum provides a level of quality that is worth the investment.

    Cons

    I wish there was a feature that would prompt staff to check in. Staff should not be able to log any reports without being checked in. As of now, staff can log activities without being logged in.

    Exceptional Accountability for Staff and Families!

    I absolutely love Brightwheel. The newer billing system has been hard to learn, but it still is an amazing addition to our center overall.

    Pros

    The alert system that tells families what is happening in their billing and with their children in real time keeps the center very accountable. It is also easy to catch and correct any mistakes right then.

    Cons

    I do feel there are a few things that could be integrated to make it even more efficient - like an alert that tells you when someone is clocked in more than 8 hours or 10 hours (or whatever the user sets). Also, being able to alert teachers when a child has not been updated in their class after 2 hours or 3 or whatever the user preference is. I would also like to be able to input staff vacation into the system somewhere. It would be helpful with payroll.
