Basware

About Basware
Basware is a provider of e-invoicing and purchase-to-pay solutions for businesses all over the world, in a wide range of industries. A number of solutions are available, designed to assist users in automating e-procurement, e-invoicing, and accounts payable processes, alongside managing fixed assets, inventories, contract lifecycles, travel & expenses, and more.
Basware offers users access to the Basware Network, an international business ecosystem which connects more than 220+ B2B networks around the globe. Joining the network enables businesses to connect with their trading partners and potential customers, exchange eCatalogs, send and receive invoices and purchase orders, create credit notes, join payment programs, and more. Basware supports over 70 different formats for e-invoices and automatically converts sent invoices to the preferred format of the recipient, removing the need for users to prepare different invoice or order types for different trading partners.
Basware Purchase enables users to automate their procurement process using built-in best-practice workflows to manage reviews and approvals for requisitions, purchase order creation, and goods receipt processes. The accounts payable processing software can make decisions on the best way to process invoices on behalf of users, based on approval policies, business rules, and the information in the invoice. Invoices are also automatically matched to orders, contracts, or goods receipts at the header level, line level, or both, to create coding and initiate workflows. Users are notified of new tasks, missing receipts, and auto-escalations, and can collaborate on individual invoices through ‘chat-like’ dialogues.
Basware offers users access to analytics covering the full purchase-to-pay process, giving users the opportunity to proactively manage KPIs, recognize problems and their causes, and identify cost savings across the whole enterprise. Ad hoc reports can be created at any time, and shared with colleagues through the native Android and iOS mobile apps.

Great tool for processing invoices

Overall experience is very good. This app is a great improvement in processing payable invoices in company. Process is smoother, easier and faster. Also, Basware works great as an audit evidence.
Pros
Basware is basically a tool which enables to process payable invoices. It allows you to upload them, input accounting string, and transfer to your ERP system. It works very well with Oracle Finance which is a great advantage. Processing invoices is relatively easy, requires 4-eye principle to be met. It allows you to add attachments, notes and perform basically whole communication regarding the invoice in one application without using neither e-mail, nor external communicator. Overall experience with this application is really great.
Cons
Purchase order processing is not the best so if you have a lot of it in your company, you may need to consider some other app. It works slow and is not intuitive.

Essential & Market Leading P2P Tool

Basware is one of the leading purchase-to-pay/invoice processing platforms. The workflow engine allows the implementation of kind of an approval process regardless of detail and exceptions. This power however comes with a price, the implementation can be challenging and the implementation learning curve can be sometimes steep. Consolidated reports are very useful and the ERP integration is sold, which is a must-have for any kind of P2P Platform.
Pros
- Intuitive user interface- Solid code base (ie very few bugs/unexpected behaviour compared to the rest of the solutions)- Workflow management is both detailed and clear- Greatly boosts efficiency in invoice processing- Reusable Templates for recurring tasks- Automatic Three-Way Invoice matching with almost no human intervention
Cons
- Lacks guides accessible within the platform for tasks- Export of invoice images would be a nice feature- Price (ie expensive)- User support needs to be better for a sophisticated platform such as Basware- Rare instances of the platform freezing up on users.

Makes getting paid harder

Poor
Pros
Signed up in order to submit and monitor invoices for a client, initially thought it was a good system, but still waiting to get paid after 3 months! Great for credit control of the customer, not the supplier!
Cons
Submitting an invoice is really hard, format rules seem to be impossible to meet, and user guides are contradictory - if you're sending an attachment, make sure it includes the word attachment, then invoices rejected because they do/don't contain the word attachment

Overall Basware is a very good invoice processing tool, it can make your work more efficient and can bring you many solutions. It is highly user friendly and will help you with most of the tasks. However, I do believe that it can have some improvements.
Pros
I like the fact that I can send invoices for automatic processing, so they can be matched to their PO numbers. The invoice scanning feature is quite useful for that. Also, the data extraction has probably all the items that you will need to run your in-company reports.
Cons
Vendor data changes usually take 24 hours to show in the system. There can not be two sessions open, so you can only process one invoice at a time. The system can be sometimes quite slow.

Overall I am satisfied with using Basware at work and hopefully I will enjoy working with it for a long time.
Pros
I am a Basware superuser in my company so I am very familiar with this software (P2P). It is easy to use and most importantly, it is possible to code invoices very fast and effective. My favourite feature is „invoice history” where I can view the entire history of an invoice and any potential errors that have occured.
Cons
What I dislike about this software that sometimes I run into some unexpected errors and have to close and open Basware again.
Response from Basware
Thank you for taking time to review the Basware P2P software.
