InvoiceASAP Overview

What is InvoiceASAP?

InvoiceASAP is a cloud-based invoicing and payment management solution offering web and mobile support for service businesses, both back office and field sales reps. The product promises to speed up the invoice issuing and payment receipt process with convenient data syncing into leading accounting software QuickBooks and Xero. Alongside its own online, browser-based dashboard, InvoiceASAP is joined by apps for iOS and Android smartphones plus compatibility with Clover POS devices. Users can then create professionally formatted estimates and invoices, send and track those invoices, before accepting mobile and web payments including the handling of credit cards. Customer credit cards can also be stored securely for recurring transactions, while custom service fees can be set and passed to customers when covering the single acceptance rate regardless of the card type.

Additional core product features include a customer management facility where a comprehensive summary of jobs / locations history, customer contact, statistics and customer notes can be viewed within a single pane of glass. A/R management allows itemized invoices to be viewed and grouped by paid or unpaid, while real time sales reporting is also built-in. Significant extras include the attachment of unlimited photos to invoices or estimates, for evidence of work completion or delivery proof, plus the capture of signatures through the mobile app.

Oh my gosh where to start. I have tried so many invoice programs and kept returning to invoice asap. Certain function I needed that are not yet supported so I went to an industry specific program and what a mistake. This company is always updating the program with the most requested features so eventually I will get my little extras but until then this little program has so many capabilities beyond just sending out an invoice.

Invoice ASAP saves me a lot of time managing my company's invoicing process while providing easy access to all of my customer information.

Pros

InvoiceASAP Pros:

1) Easily access all of my client data whether at the office or on-the-road. Having client service history available is extremely helpful.

2) Quickly create an invoice in 5-10 minutes (Depending on how much info. I want to include in the notes). I prefer to create invoices using the web portal but it also can be done from a mobile device.

3) Easy to email and track client invoice status (Sent, Opened, Paid).

4) Easily edit service/product descriptions and prices and update customer information (name, address, contact info.)

5) Very reasonable yearly subscription fee.

6) Since switching to InvoiceASAP in January 2016 I have saved significant time on managing the invoicing portion of my business.

Cons

InvoiceASAP Cons:

1) Can only accept credit cards/debit cards using Global One Pay. This change was made last year. Prior to the change you could select from multiple payment gateways (PayPal, Square, etc.). I will add I have had no problems contacting and working with Global One Pay.

2) The notes section of the invoice form only accepts plain text (no HTML, bold, italic, etc.) and is set at a narrow width. I know it would add a level of complexity to the software to add these features this but it would allow the creation of better looking invoices.

3) QuickBooks sync can be a little slow at times.

easy easy easy to see all going on. easy to search. never crashes. APP and WEB program. Super fair pricing. Great support. customer database has loads of room to keep details on customers. Emailing is tracked so you can see when customer received it and when they read it- opened invoice. super easy options for paying invoice without you needing a costly merchant account. Configured so customer pays the small fee to charge. etc merge duplicate customers. export price list to update and import back in. great reports

Cons

iI want to be able to flag and invoice for issues that I need the person who serviced the customer to enter. We are HVAC. Tech may have put invoice in but address is not right. or because I still need to register the a/c unit. etc. my only complaint is no flag. Maybe someday

Pros

I am able to sync and enter orders directly from My phone and sync to my computer (when it works properly)

Cons

Customer service non existent!!
Can't rely on the company to help fix issues.
Sync errors can be a pain to fix.
Payments tend to disappear and you have to go back and find them and fix them.
Unable to pay several invoices with one check
Sync is suppose to happen daily but shuts itself off until you restart the program.
I've had some invoices disappear And you need to renter them.
Crashes do happen but not too often
I hate the item code that can go away!
Fix customer service and I would be a lot happier

Ability to get data from our Quick Books Desktop software in the field at all times

Pros

Integration with Quick Books desktop was key for us after QB discontinued its app, so having the ability to have customer info and invoices with us at all times is great. This was the main reason we chose this software and it has been very beneficial just for that reason.

Cons

We have had a few issues with payments not applying in the InvoiceASAP software from Quick Books Desktop, so I always double check to make sure a client actually owes what is showed. I also wish the software had the ability to import estimates from Quick Books and not just invoices. It exports the estimates you make in the InvoiceASAP software without any issues, but does not import the ones made on the desktop Quick Books. The only other feature that would be helpful to our situation would be the ability of the software to import expenses that are associated with a client and then be able to put them into the invoice. For example, if we purchase an item for a client and then input the item into Quick Books as a billable item, the only way that we can bill the client for the item is to invoice it from within Quick Books by using the Add Time/Costs option, as this option does not exist in InvoiceASAP.
