About Artlogic
Artlogic is an online database system for art galleries, collectors and artists. Art businesses can manage their inventory, contacts, sales, websites, accounting, invoicing, marketing and more, all in one place. The database also comes with a dedicated sales app called 'PrivateViews' which means if you are in the gallery, the studio or at art fairs, you’re always able to easily and elegantly organise, manage and share. It also works offline so you're never away from your inventory.
Artlogic’s inventory system enables the storage and management of unlimited information and images for each piece of artwork, including its provenance, location, condition, editions, literature, ownership history, shipping and more. Accounting can be carried out in multiple currencies, and a range of branded reports and documents can be generated. Unlimited information can also be stored on artists, suppliers, and clients, such as conversations, purchases, offers, consignments, and more.
The native iOS sales app called 'PrivateViews' for creating tailored artwork presentations to share with collectors and clients outside of the gallery. The system can also be integrated with websites to showcase inventory online. The marketing tools built in allow users to create and send personalised emails to clients and collectors, and schedule marketing events, track attendance, and record event histories.

Exceptional team and tool - Artlogic revolutionized the gallery's workflow!

Pros
I was tasked with finding a new inventory system for the Arthur Roger Gallery and after months of research and discussions with various companies, I selected Artlogic. It was the best decision I made in my position. It revolutionized the gallery's workflow and further elevated its professionalism. The artists, clients and vendors all took notice, and the gallery continues to receive positive feedback on its impact. The Artlogic team is incredible and a complete joy to work with.
- Responsive and personable support team
- Timely updates incorporating industry trends and client feedback
- Attractive and intuitive interface with comprehensive database
- Good amount of customization
- Robust and effortless reporting function
- Professional presentation materials
- Great workflow tools for inventory status and client engagement
- Successful cross-functionality between inventory and contact management
- Beautiful, professional, functional PrivateViews app
The gallery had just invested in a new, standalone website and didn't have the bandwidth to bridge it with the database, nor explore the marketing tools.
Cons
The only area where I could identify room for improvement is with the timeliness of the sync between the database and the PrivateViews app. However, the current state never interfered with staff operating successfully and professionally with clients.
Response from Artlogic
Dear Rebecca,
Thanks for your very thoughtful response. It was a pleasure working with you at Arthur Roger and looking forward to more collaborations ahead with your new endeavour.
By the way, have recently created a high speed add on for PrivateViews that means updates are almost instantaneous. It is quite intensive on our servers so there is an additional cost but if the gallery were interested we could set this up for them.
Best,
Joe

Great experience and glad i made the jump !
Great experience and glad i made the jump !
Pros
It’s broken down into the sections I need and more importantly what my clients both respond to and want to see. For years I was playing around with sites like Wordpress, square space and customizing individual themes. None of which truly catered to what I do. I found myself wasting so much time building and rebuilding websites.
It took me about 1 month if that to fully have the site set up how I liked it and since then I’ve not had to waste anymore time on it. More time I can spend creating images !
I’ve noticed by bounce rate dropped from 60 percent to 30 percent and the average time people spend on the site has gone way up.
The database keeps all my images in sync and I’m able to run my one to one teaching from the site as well.
Cons
None yet ! At first the cost was steeper than what I was used to but by the time I added up all the costs of not buying themes for Wordpress I’m actually paying a lot less now and gain the database and mailing feature as well.

A few easy fixes would make this a much easier program to navigate

Once set up on Artlogic, you will have a comprehensive, elegant and well integrated database and website. The learning curve is steep and considerable time invested in data entry, staff training and familiarization should be anticipated. Several seemingly simple fixes could significantly flatten the learning curve, but Artlogic has indicated that they do not see these as priorities.
Pros
A powerful inventory, client contact and art inventory database, with an elegant interface. The website integration is excellent, and it’s very easy to share artworks in the database to your Artlogic hosted website. This has saved us a lot of time in double entering and updating discreet inventory systems and our website. The Artlogic tech support team is friendly, informative and responsive, although the time difference with England can sometimes result in a lag.
Cons
Given the sophistication of this system, several easily remedied cons are perplexing. Artlogic has taken the approach of creating a plethora of data entry fields - literally hundreds - in the contacts and artworks entry panes. Navigation is not always intuitive, and the learning curve with this program is steep. The simple ability for clients to create user defined fields, or at a minimum, hide fields not relevant to a gallery’s business model, would save hours of tabbing, scrolling, hunting and pecking. Especially vexing is the process for entering dates - it is not possible to enter a date with keystrokes (ie. “02/05/1936”) - one must click though a drop down calendar, and for dates that are decades in the past this is a carpal tunnel hazard requiring scores of clicks to enter a single date. Artlogic has been approached about this, but does not see the need for offering these features common in much less pricey databases. The other perplexing con is the absence of an online manual, FAQ, or user discussion group. There are a few videos, but given the complexity of the program, easily searchable instructional databases could save significant staff and training time, both for Artlogic’s clients and for their technical support team.
Response from Artlogic
Dear Barry,
Thank you for submitting your thoughtful review. We are always happy to hear that the database and website integration is helping to save valuable time!
You make a number of other very interesting points all of which are valid. In particular as we have begun offering Artlogic to a broader audience and wider variety of fine art businesses we have heard increasingly that clients would like to be able to simply the system based on their needs. Originally our goal was to build as many great features as possible but now we have reached a point where all those feature can become overwhelming. We are planning on some changes soon to begin allowing clients to hide certain tabs in artworks and contacts. We are also working on dramatically improving our help resources. I'll get someone from our support team to email you about the dates fields as there is something that might help you.
We will keep you posted on further developments.
Kind regards,
Joe

My overall experience with ArtLogic was hugely positive.
The ability to do everything from start to finish without using 3rd party software was incredible.
Their Private Views system looks amazingly when showing to a client.
It's a very impressive way to start a sale process.
And it's super user-friendly.
This is an important factor for staff.
The start-to-finish recording of an artwork sale process is key.
And it's done all in real time over the internet!
ArtLogic imported data, set up the website, handled the training and updates .
They also gave consistently high support when needed.
From a database consultant perspective it was a pleasure to work with the ArtLogic suite.
Pros
First, I am an independent database consultant.
ArtLogic is first of all designed superbly.
It looks amazing, it's something the user is happy to use.
Working in an art gallery, this is very helpful as we want things to look good.
And the artworks looks super in this database.
Staff are happy to use a database that looks good and easy to use.
It's comfortable and sleek unlike a lot of databases.
Navigation is very easy, everything is clear.
Clarity is everything!
Artlogic can also design your website, and link it to the DB.
I can email a client directly from the database, attach artwork images in various sizes and make an offer all in one go.
They have an accounting database which also works with the main database.
Everything is linked.
I can see what artworks a client was offered, bought, received, the amount paid, where it was shipped to, who shipped it, when they received it, the dimensions of the crate....
I can see the purchase order, shipping docket, the original offer, the tracking of the shipment....
I can send out event invitations, register attendees at an event in real time, tag all attendees automatically.
This is all recorded in one database.
The searching mechanism is one super useful feature.
I used this extensively and found that it was very applicable when looking for the right clients for a particular event.
Really, I could go on.
I found their support service to be better than any other database I've worked through.
Cons
I didn't encounter any negative aspects to using the ArtLogic suite.

Artlogic Review - TARQ
Reviewed on 2021/09/08
Pros
I think the software has allowed us to be much more prompt and efficient with sales.
Cons
Nothing in particular - I wish there were options to input multiple currencies for one artwork.
Response from Artlogic
Dear Hena, Thank you for the review. It is wonderful to hear the database is helping you to be more efficient with sales! We are currently working on enabling multiple currencies for artworks and you'll receive an email or system update notification when it is live in your system. All the best, John
