About Instagantt

Instagantt is an online application designed to help teams create and manage projects using Gantt charts. The tool is available for existing Asana users or as a standalone platform. Users have the ability to collaborate and share charts with internal and external stakeholders to ensure consistency throughout the project lifecycle. Key features include a drag and drop interface, dependency management, collaboration tools such as commenting, milestone tracking, tasks/sub-tasks, workload management, and detailed progress tracking. If a chart needs to be added to a presentation, Instagantt offers the ability to export them as Excel Spreadsheets, Google Sheets, or images.

In order to visualize project plans, users can track and schedule changes or delays by creating baselines. Additional functionality enables users to customize the user interface, such as the color of the bars on the chart, as well as set up notifications to alert all team members when necessary. Also, managers can easily view due dates and percent-complete reports of all tasks and sub-tasks at-a-glance on the project overview.

• Track progress: set, change and measure progress (%) for each task within a project.

• Workload Management: the workload view is designed to detect critical periods of time where team members are overloaded. Each member has an individual row, with all their tasks displayed horizontally on the chart.

• Change tracking: create as many baselines as desired (chart captures), and load them on top of the chart at any time in the future.

My experience with Instagantt has mostly been good. There was an initial learning curve, but improvements to the user experience and interface have been made through the years.

Pros

It’s wonderful how Instagantt syncs with Asana to visualize our projects and allows us to share with clients.

Cons

The resource view doesn’t give us exactly what we need and want to see. We built and manage what we need in a separate spreadsheet and use Instagantt for some of the data that goes into it. Also building out dependencies correctly to where big shifts don’t mess anything up can be a bit tedious.

Reasons for Switching to Instagantt

Instagantt’s tool does the Gantt visualizations clearer and more user friendly than Asana - at least Asana’s first few iterations of Gantt charts. When I tested Asana’s Gantt capability, I essentially just wanted it to be more like Instagantt.

Where I regularly become a bit stuck was when generating a snapshop view and link appeared in my browser, I couldn't instantly know the difference and had to be careful when copying and pasting the snapshot link into my reports, that I was not copying across the working file. The ONLY visible difference is the little cog icon next to the project name. This I only clicked to look for later. I would want to suggest perhaps a subtle background color change at the very top panel when seeing a snapshot.

Pros

Enjoyed the snapshot tool.
The information displayed across the date line, week number, the punchy current day in red and the fact that it instantly highlights the duration of a task or group on roll-over ...all very good. Especially when working on multiple stacked workstreams in a waterfall approach.

Cons

UI - sorry, but I am a fan of Teamgantt with it's more open UI. I feel more confident sharing timing plans with design team using teamgantt than Instagantt. That said, you have hit that middle between IMO Smartsheet being pretty horrible and Teamgantt being my 1st choice tool.
Can't show more than one phase for a workstream on the same line, forcing you to stack creating deep charts. This I know is an almost impossible thing to solve in a gantt chart but when wanting to show a client a compressed quick view of a program, Program Managers often rebuild the plan in a sheet.

I need to have a critical path on manufacturing machinery. Most tasks are less than 2 hours and some are 5-15 minutes.

Pros

Resource management Making sure we are not overloading people.

Cons

I need to track tasks down to the minute with the bar charts reflecting the relative scale. It would only allow bars for one full day. This simply will not work for manufacturing. I need to be able to zoom the bar chart in to have a full day on the screen with at least 15 minute or smaller time increments accurately reflected in the lengths of the bars and they need to add up correctly.

Overall, the experience has been great. It's much easier to use for small projects that alternatives like Microsoft Project and P6. It is a good balance between complexity and ease of use and works perfectly for managing internal projects.

I'm very satisfied we desided to use "Instagantt" for our project plannig.

Pros

The most liked things about Instagantt are simplicity and functional covering for basic planning.

Cons

There is no posibility to move or copy tasks between projects.
(I realy don't like info dialog: "Tasks can't be moved across projects.")
