Xplor Recreation is a membership and business management software platform for municipalities, recreation centers, gyms, martial arts schools, yoga studios and more.
Xplor Recreation includes customer relationship management (CRM) functionality to enable users to manage their clients and members, with access to full payment histories, current memberships, and class bookings, and the option to connect profiles of related contacts or families, duplicating shared information like addresses and phone numbers.
Automatic payment processing allows Xplor Recreation to collect member payments, which are then posted to the integrated bookkeeping app. Users are notified of missed payments, and members are automatically re-billed for any payments which have failed or been missed. The included point of sale (POS) enables users to increase their revenue by selling additional merchandise, and assists with inventory control and purchase history management.
Xplor Recreation supports multi-location businesses, with all teams able to utilize the software from a single interface, with each location able to independently customize permissions and reporting. Voice (US & Canada) and text (US only) broadcasting is also available for important announcements, such as last-minute rescheduling, reminders to bring certain items, and more.

Pros
Many feature sets including memberships, facility booking, activity registration, reporting, payment plans, POS system, etc. Most features are fairly developed with multiple implementation options.
Cons
Many features are not integrated well with each other making reporting difficult, even when using custom reports.

It's a great Recreation management software

Pros
The ability to customize a large portion of the software. You can make adjustments to behaviors and user interface objects on the staff side to adopt it better for your organization requirements. Also, the ease of having contracts sent and signed by the customer and automatically saving to the customer account is huge for us.
Cons
That customers cannot select recurring dates for rental requests. Facility rentals are paramount for our Department and we work with several athletic organizations on a repeat basis. Since the customer cannot submit requests for recurring rentals within the same request, it makes it very difficult for our staff to complete large contracts.

We are extremely satisfied with our overall experience with the product and the staff that we have worked with during the year-long configuration process. As our agency becomes more comfortable with Xplor, we are looking forward to utilizing more of the functions available to us as we are ready to implement those. I'd recommend Xplor to other Parks and Recreation agencies.
Pros
The staff has been absolutely amazing to work with and I could not be happier with our experience working with [sensitive content hidden]. We have utilized the same operating system for over 30 years so this has been a dramatic change for our agency and we are very happy with the customer-friendly functions of Xplor. The appearance and functionality are outstanding.
Xplor staff are very responsive to any issues we have had and they take the time to make you feel like more than just another business account. We are already looking forward to the new services coming in future months and thus far, we have been extremely happy with our transition. Our customer and staff feedback have been overwhelmingly positive.
Cons
We would like to see Xplor develop a Sports/League Management module as an add-on. Currently we are utilizing Team Snap in addition to Xplor to support all of our sports management and scheduling needs. Sports is a large and very important group that we serve and we would certainly look into any products from Xplor that address those needs.

Product is always evolving and improving. They listen to the users and update with new features all the time based on feedback from the users of the products.

I would never recommend them to another fitness industry, martial arts school, or recreation industry professional.
Do not expect them to handle any issues in a timely manner. Do not expect customer service to be helpful or on your side with any issues.
Look elsewhere for your member management and billing solutions.
Pros
It is fully customizable. No matter what your business structure, billing setup, membership options, etc. you can figure out a way to set it up.
Cons
Most recreation facilities DO NOT need the level of customization offered. We have started locations from zero using PerfectMind (xplor) AND acquired locations that have used it for years. In both cases, we found that eventually the difficulty of use outweighed the customizability.
In addition to this, their customer service is abysmal. They fit the fitness-industry trope of basically making it impossible to cancel. Over the last 6-8 weeks I have spoken to at least 3 different customer service reps, been given 3 different case number, and they are STILL attempting to collect payments for a service that I do not use.
