ExpenseLogic is an expense management solution that utilizes advanced machine learning (ML) Capabilities to streamline end-user experience and improve overall reporting capabilities to allow for AI recommended reports based on the aggregate data.
ExpenseLogic’s web-based portal maintains data reporting through advanced business operations information, such as vendors, invoice detail, payment/financial details, MACD orders, contract/lease terms, and asset inventory enabling organizations to manage multiple vendors, end-users, and purchases daily.
ExpenseLogic offers various software modules including, invoice processing for the accounts payable department that provides a well-rounded accounting software that includes check writing and Accrual file capabilities along with a direct interface with any accounting or ERP system. The document management module allows the end user to view a full invoice document as it is attached to each account number each month. The invoice images can also be filtered and downloaded at one time for quick email to interested parties. Interface with various imaging software such as Image Now or Scan One is also an option.
ExpenseLogic provides contract management tool that helps create a repository of contract images and details. An email notification system allows for the end user or multiple people to be emailed at a specific interval before contract expiration. The details of the contract, including SLA's, can also be outlined for quick access during the invoice audits.
The Expense audit allows each invoice to be audited by line-item detail. Each charge on an invoice can have a specific limit set that will identify overcharges on the Exception report. This area of the software is truly the most detailed in the industry as it allows for tracking of errors and disputes with the vendor and a dashboard that shows credits pending and received. This section allows multiple people to view and work an error for the different invoice types, telecom, utility, wireless and IT.
Asset Management is a section that can house assets for IT such as PBX or router information or for utility, HVAC, or other equipment at a specific address. The details of the equipment can include lease, warranty, and reasonable value for buyout purposes. This information is managed by the Site Manager dashboard that allows a quick view of the invoices, monthly charges, and equipment at a physical location.
The MAC ticketing system allows for orders to be placed and tracked throughout the full lifecycle of a service, phone line, circuit number or utility meter. Orders can be placed and automatically assigned to the support team for fulfillment based on the type of service or availability. Service Now can interface with ExpenseLogic for a push/pull of data to allow your end users to continue using Service Now.
The Reporting Analytics is endless with adHoc reports that include budgeting, cost per square foot, patient, user, etc., Accrual files, Exception, Year over year, Comparison with date or location, zero usage reporting and multiple wireless report along with a full complement of energy reporting to include Co2 and Sustainability reporting to interface with Energy Star or other ESG required vendors. Vacant Cost Recovery reporting assists those companies tasked with managing multiple properties and meters. SQL reporting is an easy-to-use query that includes all fields in the software that can be created by the end user and set up in the report builder for automatic delivery.
Key benefits of ExpenseLogic
• The accounting department benefits by having the invoices detailed by line item which eliminates the manual tasks of data entry of the invoice information. This invoice detail eliminates the need for pulling old invoices to track down invoice information. The reporting is detailed by location or Cost Center and is available by location, region, district, etc. using the company's hierarchy.
• The IT and telecom department benefits from the invoices being detailed in a manner that defines each phone, circuit or wireless number by location and service type, i.e. regular business line, centrex line, measured business line, PRI, DHEC circuit, etc. This detail culminates into an inventory that can be viewed by location. The physical assets at the locations can also be housed in the software to allow for a complete picture of services and equipment at each location. The audit component that audits against contract or other rates set for each service is one of the greatest benefits since the audit defines which service has been overcharged and the end user can quickly create a report to send to the vendor to request a refund. The software also tracks the credits pending and received, which reduces the amount of time spent tracking refunds.
• The facilities and operations departments benefit from having the energy invoices detailed by usage by kWh, therms, gallons, etc that all sustainability reporting requires. Having this information detailed monthly allows for the ESG reporting to be provided, analyzed, and reported for sustainability reports that are due quarterly or annually. The interface with Energy Star is also a benefit that allows for a direct feed of usage information monthly. The audit completed on each invoice details the service that billed over to allow for a quick report to the vendor to request the refund.
• All the departments mentioned will benefit from the dashboard that allows the end user to define their reporting, charts or graphs that are most needed daily. The end user can also benefit from setting up reports to email out automatically so that there is no wait for the information.
• The connectivity to vendors through EDI or other API's or utilizing OCR will eliminate the invoice processing time for the accounting department.
• The workflow of approvals allows the end user to be notified of an invoice that needs to be approved or a MACD ticket that needs approval.

Easily access lease information and find invoices for utiltiies

The login authentication process. Takes to long to login and normally I am just quickly trying to login and reference one piece of information. Overall takes longer to login than I actually spend time within the website.

multiple factors were involved when selecting ExpenseLogic. I think other products may have more features but for far more $$. Pros
Very handy when needing access to expenses coded to a specific cost center.
Cons
I find that some expenses are not showing up as coded to a cost center in ExpenseLogic but they are receiving and paying for the service through Radius Point. It's usually with a national vendor that issues one invoice with many locations referenced on the one invoice.
