- **Pricing Details**: VaroVet pricing is built around one idea: clinics should pay for the people who practice medicine, not for everyone who logs in. Every plan is billed per clinic, and you are only charged for clinical users — vets and other professionals who author or sign medical records, prescriptions or invoices under their own name. Reception, nurses, assistants, managers and accountants are free on every plan, with no seat limit.

Plans and list prices

Basic — €69 / £79 / $99 per month
For solo and mobile vets. Includes 1 clinical user, unlimited non-clinical users, appointments and scheduling, digital medical records, inventory and medication tracking, invoicing, client reminders and the pet owner portal. Basic does not include VaroVet Payments or AI features.

Pro — €149 / £169 / $249 per month
For the typical clinic. Everything in Basic, plus 3 clinical users included (additional clinical users at €35 / £39 / $49 per month each), multi-vet calendar with per-vet swimlanes, per-vet production reporting, online booking per vet through the owner portal, and access to the VaroVet Payments and VaroVet Scribe add-ons. A second location can be added for €59 / £59 / $79 per month; clinics with three or more locations move to Enterprise.

Enterprise — from €12,000 / £12,000 / $24,000 per year
For clinic groups, teaching hospitals and multi-location networks. Custom clinical user allocation, unlimited locations with consolidated reporting, preferential Payments rates, dedicated onboarding and data migration, priority support with a service-level agreement, integration and API work, and invoicing on annual terms. Pricing is quoted per organisation based on size, locations and scope.

Billing and terms

All plans are available monthly or annually. Annual billing includes two months free (you pay for ten months of service). Prices are shown excluding VAT; VAT is applied according to your country and business status. There are no setup fees on Basic or Pro, and data migration from your previous system is included when you sign up for an annual plan. Enterprise engagements may include a one-time implementation fee depending on scope, agreed upfront.

You can upgrade at any time and the change takes effect immediately, with the difference prorated. Downgrades take effect at the end of the current billing period. Clinical users can be added or removed month to month. Contracts on Basic and Pro can be cancelled at any time; your data remains exportable for 90 days after cancellation.

Add-ons

VaroVet Payments (Pro and Enterprise)
Accept card and digital wallet payments at the desk, online through the owner portal and via payment links, with every transaction reconciled automatically against the invoice. Pricing is a flat platform fee plus a per-transaction rate — Pro clinics pay €30 per month plus 3.5% + €0.30 per transaction, Enterprise clinics pay €20 per month plus 2.8% + €0.27. There are no separate processor fees, no hidden scheme charges and no hardware lock-in.

VaroVet Scribe (Pro and Enterprise)
AI-assisted clinical documentation that turns spoken consultations into structured notes and summaries for the vet to review and sign. €29 / £39 / $49 per clinical user per month. Scribe is licensed per clinical user, so you can enable it for the vets who want it and leave it off for those who don't.

What is always included

Every plan, including Basic, comes with the pet owner portal at no extra cost, unlimited patients and client records, unlimited non-clinical users, EU data hosting, role-based permissions, trusted device management, full audit logging, automated reminders, standard reporting, email support and access to all product updates. We do not charge per patient, per SMS reminder, per report or per storage tier.

How we compare

Most practice management systems charge per seat for every staff member or per vet at rates that rise steeply with clinic size. VaroVet's flat per-clinic base with free non-clinical users means a three-vet clinic with six reception and nursing staff pays for three users, not nine. For smaller and mid-sized clinics this typically works out 30–50% lower than per-seat competitors at equivalent functionality, while keeping pricing predictable as the team grows.

Regional pricing

List prices are published in EUR, GBP and USD and billed in your local currency. Clinics in other markets are billed in EUR. Discounts are available for annual commitments, multi-clinic groups, and veterinary associations with a partnership agreement.
