\- Keep your correspondence after the account is gone with a local Office 365 backup. Email Backup Tool for Microsoft 365 and Outlook writes the mailbox into a PST on your own drive, and that file can still be opened in Outlook when the online account has been closed by an employer, a school or Microsoft.
- Make an Office 365 backup without involving a tenant console. You log in with your normal Microsoft account inside the program window, and there is no app registration, script or compliance role to set up first. Unlike a company wide Microsoft 365 backup service, it covers exactly one mailbox, the one you sign in to, and needs no seats or agents.
- Avoid handing mail to another vendor. The program talks to Microsoft directly from the PC, so letters travel from the mailbox to your disk and do not pass through any intermediate cloud storage. Your letters are never sent to SoftOrbits.
- Limit the exposure of your account. Access is requested for reading mail only, the token is held in memory and disappears when the window closes, and you can withdraw the permission later in your Microsoft account settings.

- Get attachments back exactly as they were sent. Files attached to letters are stored without changes, and our tests confirmed identical bytes for attachments as large as 224 MiB.
- Keep the structure people already know. Nested folders, sender and recipient fields, original dates, formatted HTML bodies and unread flags are preserved, so an Outlook email backup looks like the source mailbox when opened.
- Avoid running out of disk mid way. Before writing begins, the program compares free space against what the job needs, about the size of the mailbox, because each batch of downloaded letters is removed as soon as it is in the PST, and warns when the destination is a compressed NTFS folder.
- Help IT say yes faster. Work and school tenants sometimes require approval for new apps, and the program shows a plain description of what it reads before login, which you can pass to the help desk so your Office 365 backup is not stuck waiting on questions.
- Know whether anything was missed. The final report reconciles counts of filtered, written, skipped and failed items and states any unexplained difference as a number instead of hiding it.
- Try it on real data before paying. The free trial creates a usable PST holding the latest 25 letters from each folder, which is enough to export an Office 365 mailbox to PST in miniature and inspect it in Outlook before choosing a lifetime, 1-year, monthly or business license.
