SAFE Overview

What is SAFE?

Input
We make it easy to file documents of different types whether they are scanned images, Word, Excel, PDF, CAD, email, photos, faxes, etc. Users can scan, import, drag- and-drop, print-to, or save-as to input documents. SAFE also gives you the possibility to create new documents within the filing structure. All documents are stored in their native format in centralized repositories.

Structure
SAFE provides a very structured filing environment. In the paper world, file rooms contain file cabinets. For example, you may have 5 four-drawer file cabinets for your clients, a cabinet for your vendors, a personnel cabinet, etc. Within those cabinets are folders and within those folders, documents.
With SAFE it’s exactly the same. The concept of SAFE is a Repository containing Cabinets, within Cabinets there are Folders. Those Folders contain Tabs where all Documents reside regardless of their format or function. This structure eliminates the inefficiency of multiple clicks to drill into a folder-sub-folder structure to get to a document.

Search
Because documents are filed into SAFE using standard naming conventions (templates) that you create, searching for them later is simplified. Users have three ways to search for a document. Quick navigation of the folder/tab/document structure is most efficient. Users can search for a document based on keywords or metadata – such as creation date, created by, etc. Thirdly, users can search for documents which contain text based on strings of text within the documents.

Workflow
All businesses operate by document workflow processes. These processes are the lifeblood of a company. Examples are processing invoices for payment, reviewing contracts, entering billing information, order entry, etc. SAFE includes powerful workflow capabilities. Not as an optional add-on, but part of the core product. Workflow can be performed manually or based on business rules defined in SAFE and provides alert and escalation automation as well as reporting and management to monitor and control processes.

Interface
Users access the system via a client interface or through a browser. SAFE is available in both “installed” – installed on your computers, accessed locally or over the internet; or “hosted” – where the software resides on our servers and you access your documents via the internet. The hosted version is perfect for clients with limited IT resources. Regardless of the delivery method, the product is the same – SAFE.

Scheduling
Cabinets, Folders, or Documents can be scheduled for action on a specified date. A user can assign a scheduled item to other users, and items can be routed on a scheduled date, any scheduled item can be scheduled multiple times. A user may also add a scheduled item to an Outlook calendar or send an appointment request.

Integration
Document Management is one important tool, but not the only software used by most companies. SAFE provides an API and out-of-the-box integration utilities to help integrate to other software systems in use. Out-of-the-box, SAFE integrates with all of the Microsoft Office applications. We store documents in their native format, so if you want to edit these types of documents from within SAFE, and you have access rights, you simply use an application like Word or Excel to do the edits – no need to learn a proprietary system. Cabinet integration tools allow you to leverage data already housed in within other applications like Customer Relationship Management (CRM) or Accounting systems. This data can be used to populate index fields in SAFE when creating a new folder – eliminating double data entry.

SAFE version 10.4 (Psigen formerly Cabinet NG)

We use this software on a network that is access by employees in two states. We use it to digitally file every document that comes through our office. We have configured the software and created "template rules" and workflow processes that all our AP person to file invoices and hold for packing slips. When packing slips arrive, they are combined with the invoice and entered into accounting software AND put into "workflow" in CNG. This creates a prompt for the AP supervisor to review the accounting coding and pay the bill. The digital document is forwarded to the Manager and the physical checks are given to Manager at the same time. The Manager "approves" the document back into the file cabinet, signs the check and the document is now "filed back" in its folder. Others can view the document at anytime while it is in the workflow process - but no changes can be made. Comments can be made (in workflow) for the document as it makes its way through the process. This makes the next person in line aware of any questions or issues pertaining to the document (or invoice in our case). Eliminated the paper mess in having four people involved in every document and never knowing who has a particular document and where it stands.

CNG Safe has extensive support documentation as well as a support forum, that includes a knowledge base and personalized support capability. The documentation is free and available on their website. Access to their support forum, however, is restricted to customers.

Based on personal experience, I would recommend the solution. Why? Because efficient document management translates into satisfied employees which, in turn, translates into happy customers!

Pros

As we deal with a LOT of inventory that changes daily and is constantly moving in and out of the factory, we were using pencil and paper to keep track of what had moved. Then another employee would update the information into a pc daily. Such a major waste of time! This process had been going on for over a decade.

As we get audits every few months and a huge audit once a year, I sought out a good program which could help ease the work needed and Safe does just that. We know instantly what is going on and it's very easy to learn and use.

Cons

The cost BUT it pays for itself due to the nice organization and major time saving.

Pros

The customer service and support is top notch. When you have an issue, you call or email a support request. I have called or emailed a support request multiple times over the past four years. Each time, Chuck has returned my call and he knows the software inside and out. He even helps when it turns out that the problem is not his software, but a setting on my computer. There are many features and if an user decides that they want to use the software in a certain way, CNG will provide personalized attention and instruction to make it happen.

Cons

I find that combining documents is a wee bit cumbersome. There may be a feature that I am not aware of that simplifies the process when you accidentally file pages of a document as two separate documents. It would be really helpful if two documents in workflow could be combined while in workflow.
